Medical Secretary/Receptionist/PM – Cardiology (Northern Beaches, Sydney)

We are seeking a compassionate, detail-oriented, and tech-savvy Medical Secretary/Receptionist/PM to join a dedicated and close-knit team supporting a highly regarded Cardiology Specialist.

This role is ideal for someone with a kind and pleasant disposition, well-balanced, diplomatic, and calm under pressure, preferably living on the Northern Beaches or the North Shore, with Genie Software experience.

Your Key Responsibilities
  • Be the first point of contact for patients—offering a warm welcome while coordinating appointments, referrals, and follow-ups.
  • Manage the day-to-day administration of a private cardiology practice, ensuring seamless clinical operations.
  • Oversee Clinic Billing, Medicare Claims, Health Fund processing, Hospital Billing on Eclipse and end-of-day reconciliation with high accuracy.
  • Maintain a high standard of patient confidentiality, care, and respect at all times.
  • Coordinate with Cath labs, hospitals, general practices, imaging providers, and allied health professionals.
  • Champion the transition to paperless systems, ensuring digital accuracy and sustainability.
  • Management of all of the doctor's letters and reports, including full administration, to ensure that letters and reports are delivered electronically to GP's within 48 hours .
  • Support the cardiologist in calendar and diary management, correspondence, and workflow efficiency.

About You
  • You have previous experience as a Medical Secretary/Receptionist/Practice Manager—preferably in a specialist medical practice.
  • Proficient in Genie medical software.
  • A confident multi-tasker who thrives in fast-paced, high-pressure environments.
  • Tech-savvy, intuitive, and able to troubleshoot software or administrative issues independently.
  • You communicate with warmth, clarity, and empathy—valuing every patient interaction.
  • Local to Sydney's Northern Beaches or North Shore, with flexibility to travel between sites if required.
  • You work well autonomously but shine as part of a team, bringing calm, charisma, and capability to your role.
