As we continue to grow, we are looking for a detail-oriented and driven Administration Assistant to join our team in our Mornington Office.

The Role:

As an Administration Assistant, you will play a key role in the day-to-day operation of the office, supporting our management team and ensuring that our business runs smoothly. You will need to have exceptional administration skills and experience in using job scheduling and rostering software. This role will also involve a variety of office duties, ranging from invoicing and payment reconciliation to client paperwork management.

Your Responsibilities Will Include:

  • Managing job scheduling and rostering using specialized software to ensure staff are properly allocated to shifts and that rosters are efficiently maintained.

  • Issuing invoices and reconciling payments, ensuring accurate financial records and smooth payment processing.

  • Sending out quotes to clients and ensuring they are accurate and timely.

  • Preparing and organizing standardized client paperwork, including service agreements, reports, and consent forms.

  • Assisting with ad-hoc office duties as required, such as data entry, filing, and general office administration.

  • Calendar management and assisting with event coordination for staff and participant activities.

  • Assisting management with various tasks such as drafting communications and other ad-hoc administrative tasks.

  • Answering phone calls and responding to emails, providing efficient support to the team and clients.

  • Supporting the team with any additional tasks as required, ensuring the office runs smoothly and efficiently.

What We Are Looking For:
  • Strong administrative skills, with excellent attention to detail.

  • Experience with job scheduling and rostering software is a plus.

  • Ability to issue invoices and manage payment reconciliation.

  • Familiarity with preparing client paperwork, reports, and quotes.

  • Experience in an executive assistant or administrative support role.

  • Excellent communication skills, both written and verbal.

  • Highly organized, able to manage multiple tasks and meet deadlines.

  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook) and general office software.

  • Positive, proactive attitude, with the ability to work both independently and as part of a team.

  • Previous experience in a similar administrative role is highly desirable.
