General description of work:

The Project Manager plays a pivotal role in ensuring seamless communication and execution across post-sales, design and production teams. This position is responsible for managing projects from point or order through to delivery, by coordinating each project through the post sales process, ensuring client satisfaction, driving continuous improvement in processes and meeting output and delivery expectations.

About the Role

We are seeking a highly organized and proactive Project Manager to oversee the end-to-end delivery of client projects. This role is pivotal in ensuring projects are delivered In Full, On Time, In Spec (DIFOTIS) while maintaining strong communication across departments and with clients.

Key Responsibilities

Project Management

  • Receive order handover from Inside Sales
  • Create and maintain system production jobs and referencing details
  • Manage and maintain the open order register, liaising with finance, procurement, engineering, and production
  • Communicate with finance on deposit payments, balance payments, and account terms prior to dispatch
  • Collate signed shop drawings and order documentation from Inside Sales and Project Design
  • Gather manufacturing files, installation guides, assembly guides, and Bill of Materials (BOM) from Project Engineering
  • Allocate BOM from stock to production jobs
  • Create purchase orders for project componentry and outsourced services (e.g., custom hardware, printing)
  • Handover production-ready project packs to the Production Manager
  • Monitor production progress, ensuring delivery expectations are met and priorities are clear
  • Manage client communication from project initiation through to delivery, installation, and completion
  • Coordinate feedback, repairs, improvements, or additions with relevant departments
  • Share project success stories with Marketing for promotional opportunities

  • Maintain regular communication with your manager to ensure priorities and deadlines are clear
  • Support the development of colleagues and contribute to a positive team culture
  • Follow correct communication channels and systems
  • Work collaboratively with professionalism and mutual respect
  • Represent Acoufelt in line with company values

Work Health & Safety (WHS) & Compliance

  • Actively participate in consultation regarding WHS issues and improvements
  • Report safety and environmental incidents, hazards, accidents, and risks
