Primary objective

The Board Administrator provides proactive high-level advice, secretariat support and co-ordination to support various boards and

committees associated with Building Advisory Services (BAS) to perform their legislated functions.

Context statement

BAS is a unit within the Lands and Planning Division of the Department of Lands, Planning and Environment. BAS are responsible

for the administration of various boards and committees including the Building Advisory Committee, Building Appeals Board,

Valuation Board of Review and the Pool Safety Review Committee.

Key duties and responsibilities

1. Provide efficient, professional administrative support and secretariat services to statutory and non-statutory boards and

committees, advisory panels and related working groups including monitoring phone calls, generic email accounts, managing

calendars, scheduling meetings, coordinating correspondence, records/information management, travel and accommodation

bookings and procurement functions.

  1. Draft board papers and prepare correspondence on behalf of the boards/committees, liaise with committee members and

process travel, sitting fees and other payments for board/committee meetings.

  1. Maintain accurate records (minutes, resolutions, agenda items, emails approvals) and key information including membership

details, financial records, payments, terms of reference and provide reports on request.

  1. Assist with the preparation of various documents including ministerial correspondence and reporting and consult relevant staff

to assist the department to address actions that arise from board/committee meetings and provide an effective liaison between

the boards/committees, the executive team, stakeholders and the community.

  1. Undertake administration duties within the broader work unit including front counter enquiries, building control and pool

fencing units assisting with enquiries from the public, actioning HR requests and project work to support the business

operations of the relevant office.

Selection criteria

Essential

1. A qualification in Business Administration or relevant qualification or equivalent experience.

2. Demonstrated experience providing administrative and secretariat support to boards, committees or senior management.

3. Experience in an executive support or similar role with ability to apply confidentiality, initiative and integrity to work

independently and with high self-motivation.

4. Ability to communicate effectively and respectfully with a range of internal and external stakeholders from diverse cultures

through a variety of means including written and verbal communication.

5. Experience in preparation and quality control of written information, preferably in a public sector environment.

6. High-level computer skills, with proficiency in various standard office software packages, and NTG corporate systems such as

TRM, NTGPay, TRIPS, ILIS or the ability to acquire.

7. A current NT 'C' Class driver's licence or equivalent.
