We are seeking two motivated and organised Project Officers, Psychosocial Implementation to drive vital improvements following the recent Psychosocial Risk Assessment conducted with the Operating Theatre in 24/25.

About the Role:
As one of two fixed-term Project Officers, you will play a key role in delivering targeted recommendations that enhance the efficiency, wellbeing, and operational coordination within our Operating Theatre. Your work will directly support our surgical, anaesthetic, nursing and technician teams, ensuring a healthier and more sustainable working environment.

Key Responsibilities:

•    Drive a structured Operating Theatre Efficiency Improvement Project, focusing on redesigning work systems including theatre case scheduling, list planning, escalation protocols, and cross-department coordination.

•    Lead a detailed audit of surgical and anaesthetics rostering, overtime, and unplanned clinical work to ensure remuneration is aligned with EBA provisions.

•    Assess and optimise administrative support for senior medical staff, helping integrate education, research, governance, and service development tasks within rostered hours.

Position Summary

The Project Officer, Psychosocial Implementation is one of two fixed term roles that will lead the delivery of the recommendations of the Psychosocial Risk Assessment that was conducted with the Operating Theatre in 2024/2025. 

This will include;

  • a structured Operating Theatre Efficiency Improvement Project, with a focus on redesigning work systems including theatre case scheduling, theatre list planning, embedding escalation protocols, and strengthening coordination between departments.
  • a targeted audit of surgical and anaesthetics rostering, overtime practices, and unplanned clinical work to ensure all activity—both planned and unplanned—is appropriately remunerated in accordance with EBA provisions.
  • assess the administrative support required by senior medical staff (both surgical and anaesthetics) to meet non-clinical responsibilities—such as education, research, governance, and service development—within rostered hours. The aim is to ensure these essential activities are recognised, supported, and better integrated into workload planning.

This role will require a flexible, organised individual with proven project management, change management, analytical and good stakeholder engagement skills.

Skills

Essential:

  • Tertiary level (Bachelor or higher) in Healthcare, Business, or related field.
  • Competent computer literacy including standard Microsoft office software and MS 365 applications (Visio and MS Project beneficial).
  • Significant experience in coordinating complex projects within the healthcare setting.
  • Ability to monitor, evaluate and report on project status, outcomes, and impact.
  • Knowledge of the Victorian healthcare system.
  • Familiar with public hospital planned surgery services.
  • Understanding of peri-operative services.
  • Understanding of project and change management methodologies and principles.
  • Strong interpersonal skills across all levels of an organisation.
  • Excellent oral and written communication skills.
  • Strong analytical, strategic insight and negotiation skills.
  • Strong time management skills.
  • Demonstrated ability to balance competing and conflicting priorities

Desirable:

  • Degree in health-related discipline.
  • Understanding of Government policies and strategic directions relating to public planned surgery.
Key Accountabilities

1. Project Planning

  • Support management of assigned projects through clear, data informed project plans that ensure progress and timely delivery of project milestones.
  • Support successful delivery of the psychosocial risk assessment recommendations, across operating theatres at Peter Mac.
  • Communicate and prepare project status reports, including closure and evaluation reports.

2. Change Management

  • Influence and support change management by acting as a key advocate and facilitator for change.
  • Coordinate and facilitate agile and effective decision making.
  • Engages in a collaborative manner when consulting with clinical and support stakeholders.
  • Proactively engage stakeholders to build awareness, understanding and commitment to change.
  • Resolve conflicts, and drive consensus toward project goals.
  • Support the development and implementation of change management and communication strategies.
  • Support the development of future business cases to transition new models of care into business as usual.

3. Stakeholder engagement and leadership

  • Encourage broad and appropriate stakeholder representation, engaging consumer, and clinical participation in targeted reform projects to facilitate continuous improvement and service re-design.
  • Support shared learning and adoption of best practice across the Surgery Division.
  • Working collaboratively with key stakeholders to support cross workgroup projects, identify, plan for, and implement new opportunities to reform and scale best practice.

  • Support the use of data analytics to identify opportunities for improvement, establish baseline measures, monitor, and evaluate outcomes to demonstrate Safe, Timely, Effective Person-Centred Care.

  • Contribute to the co-design and management of reporting and monitoring frameworks.

5. Risks, Policies

  • Identify and manage risks and issues and ensure that effective risk controls are documented, and mitigation strategies are in place.
  • Support establishment of risk management plan for Peter Mac projects and mitigation actions or risks escalation where necessary.
  • Demonstrate a commitment to a person-centred care delivery model.
  • Ensure all elements of delegated work are completed to a high standard and in accordance with Peter Mac policies, procedures, and values.
  • Ensure all elements of work are in accordance with Planned Surgery Access Policy and other requirements as per Department of Health Planned Surgery Reform Blueprint.
