Office Coordinator (Front of House) – Be the Heart of Our Office at ReGroup

Full-time | Osborne Park, WA | Civil, Transport & Mining

Are you an organised, proactive team player who thrives in a fast-paced, culture-driven environment? ReGroup is on the lookout for a dynamic Office Coordinator to take charge of our front-of-house and day-to-day office operations — while also playing a key role in supporting projects, events, and executive leadership.

This is not your average admin role. You'll be the first face people see when they walk through our doors — setting the tone for a welcoming and professional environment — all while keeping our office humming in the background.

Key Responsibilities

  • Be the front-of-house champion – welcoming visitors, managing calls and maintaining a professional and friendly environment
  • Manage day-to-day office operations to ensure things run smoothly and efficiently
  • Support the project mobilisation team: coordinate inductions, book travel (flights/accommodation), and manage site clearance logistics
  • Raise Purchase Orders and process invoices using our account management system (Base Plan experience a bonus)
  • Coordinate internal and client-facing events, workshops, and team functions
  • Provide high-level executive support to the Managing Director – from scheduling meetings to handling correspondence and admin tasks
