The City Strategy team at Hume is looking for a Business Support Officer to assist the team in carrying out a wide variety of projects.

What you'll be doing:

  • Undertaking a range of administration tasks to assist the Manager of City Strategy and provide support and assistance to the programs and projects coordinated by the City Strategy department.
  • Carrying out general administrative duties such as archiving and file maintenance, data processing, word processing, mailouts, photocopying and accurate record keeping.
  • Provide a high level of accuracy and attention to detail in the creation and presentation of all reports, submissions and other correspondence prepared by the department.
  • Collaborate with the Executive Assistant to the Director City Planning and Places to proactively facilitate meeting key deadlines for City Strategy, including Council reports.
  • Assist in the management of calendars, schedules, and rosters for the Manager of City Strategy and broader teams.
  • Coordinate the administrative logistics for department-led working groups including scheduling meetings, arranging rooms and catering, taking minutes (including those for the Manager of Strategic Projects and Places), and ensuring timely follow up on actionable items.
  • Administer financial support for the department, including the management of Purchase orders and requisitions, journal requests and requests for payment with accurate record keeping.
  • Deliver exemplary customer service by adhering to standards and procedures aimed at enhancing the customer experience. Support the Customer Service Team by reviewing requests and facilitating prompt responses to ensure customer satisfaction.
  • Maintain and monitor a register of referral applications and Customer Action Requests.

The skills and experience you'll bring to the role:

  • Strong administration skills, including the capacity to develop and maintain administrative procedures and systems, drafting of correspondence, reports, promotional material, and various other documents with accuracy and attention to detail.
  • Sound written and verbal communication skills with an ability to gain co-operation and assistance from a variety of contacts internally and externally, including other Council officers, government agencies, businesses and the general public.
  • Well developed customer service skills including the ability to handle challenging people and conflict resolution within the scope of this position.
  • Proficiency in MS Office suite (particularly Word and Excel) and the use of Council's databases such as OneCouncil (TechOne), Info Council, Open Cities (or other website management software) and others as they are implemented.
  • Proven capability in agenda preparation, minute taking for meetings and disbursement of appropriate information to designated staff or external parties.

Required Certifications & Qualifications:

  • A tertiary qualification in Office Administration and/or relevant administration experience.
  • Current driver's licence.
