We are looking for two experienced and detail-oriented Client Services & Scheduling Coordinators to join our team and support our expanding operations.

About the Role
As a Client Services & Scheduling Coordinator, you'll play a key role in supporting smooth service delivery across multiple departments. You will manage complex scheduling, coordinate participant services, and maintain high-quality communication with stakeholders.
This role reports directly to the Operations Manager.
Key Responsibilities
Scheduling & System Management
- Perform complex rostering and scheduling using internal systems (e.g. Zanda)
- Allocate assessment times, reporting, administration, preparation, travel time, and training/education
- Update and maintain participant and support worker/coordinator information in databases
Participant & Service Coordination
- Manage NDIS/private referrals, Service Agreements, quotes, and clinical appointment bookings
- Ensure accurate tracking of service delivery requirements and follow-up actions
Operational Support
- Provide day-to-day administrative and coordination support
- Assist other departments and interstate teams
- Help cover coordination tasks when team members are on leave
Diary & Travel Coordination
- Assist with organising Nurse and Support Worker schedules
- Coordinate travel arrangements efficiently and cost-effectively
Stakeholder Communication
- Act as a point of contact for Participants, Nurses, Support Workers, and Support Coordinators
- Provide clear, timely, and solutions-focused communication
Process Improvement
- Contribute to workflow improvements and process optimisation
About You

Key Requirements
- 2–3 years of rostering or coordination experience (mandatory)
- Experience within NDIS and My Aged Care (Highly Desirable)
- NDIS Worker Screening (or willingness to obtain)
- Full working rights in Australia
- Two work-related referees
- Current National Police Check (or willingness to apply)
Position Details
- Permanent Full-Time (40 hours/week)
- Monday–Friday, 8:30am–5:00pm
- SCHADS Award Level 4
- $36–$38 per hour + super (based on experience)
