About the role:
As our Senior Administrator, you'll become part of an integral team that manages the workflow, customer service and experience within our office. Our administrative team play a pivotal role for our sales and property management teams, performing a range of tasks to assist in the seamless delivery of their services. Our administrative team takes care of our reception duties and subsequently, you'll likely become one of the first faces our clients see and voices they hear.
Key Responsibilities:
Administration & Reception
You will lead a small reception/admin team providing strong guidance and support. You will model the professional workplace skills that they aspire to attain. You'll be working from our reception desks in our front-of-house. Working in this role you'll be exposed to the range of issues, challenges and opportunities our clients present which will fast track your real-estate education. Whilst working in this senior position you'll be responsible for greeting clients, assisting with client enquiries in person, via phone and over email. You'll also ensure the office is well presented and that other departments such as rental, sales and management have any administrative needs met.
Internal Communications
You'll be at the centre of a lot of communication, from staff to clients, from clients to staff. You'll become an expert in using our internal communication systems to ensure messages are passed on and acted upon, assisting us to maintain a high standard of customer service.
Property Management Team
You'll be exposed first hand to all that our business offers. You will assist our Property Management team with rental files, taking tenancy applications and information, receipt payments, updating property listings, providing rental lists to prospective tenants and assisting with general enquiries.
Sales Team
You'll get to know our Sales Team and their processes, you'll assist by uploading and completing sales files, managing brochures and resources, alterations to listings, enquiries (walk-in/phone/online), settlements and database/contact management.
Marketing
You will assist our content marketer with stock control, creating settlement and renter gifts, helping with miscellaneous events. Marketing supports you with communicating to suppliers and creating any customised documentation required.
Other Duties & Tying It All Together
In this role and in a team like ours, there will always be opportunities to grow and take on new challenges; there will also always be bins that need taking out, meeting rooms that need a tidy up and a list of tasks to ensure we're providing a great service to our clients. Joining our administrative team, you'll be ready to roll up your sleeves and get it done.
Skills & Qualifications:
Essential
- Proven experience in office administration.
- Excellent organisational skills with the ability to prioritise tasks and meet deadlines.
- Strong leadership ability.
- A proven high standard of customer service.
Desirable
- Previous experience in the real estate industry.
- A Cert IV in Real Estate Practice.
- Some experience in a leadership role.

Working Conditions:
- Office-based role in Warragul with some time spent in our Drouin office.
- Standard business hours 9am – 5.30pm Monday to Friday with a one-hour lunchbreak.
