About the OPPORTUNITY
As the Production Business Support Lead, you will provide high-level administrative support with a strategic focus. This position combines Production support responsibilities with leadership in driving process enhancements, managing key project initiatives, overseeing programs of work, and includes leading an administrative team within large and complex Functions, Business Units, Lines of Business, and/or Programs.
This role involves overseeing complex operations, such as global coordination across multiple time-zones, stakeholder relationship management, contributing to policy development and business documentation while ensuring confidentiality and exceptional service delivery. The position interfaces with senior leadership, external stakeholders, and internal teams, ensuring seamless communication, decision-making, and operational excellence.
This role will be based at our Osborne Shipyard office in Adelaide and is open to the 9-day fortnight.
PRINCIPAL ACCOUNTABILITIES:
- Provide comprehensive Production support activities within large and complex Functions, Business Units, Lines of Business, and/or Programs, including calendar management, scheduling, complex travel arrangements, and preparation of agendas and meeting content packs
- Lead and mentor administrative staff, ensuring alignment with organisational objectives
- Cultivate a collaborative and supportive team culture by providing clear direction and demonstrating leadership
- Act as the subject matter expert (SME) for administrative processes, systems and tools, providing guidance and support to team members and stakeholders
- Coordinate high-level projects, events, and programs of work across multiple time zones, ensuring deadlines and quality standards are met
- Prepare, review, and refine high-level business documents, including reports, proposals, policies, and executive correspondence, ensuring clarity, professionalism, and alignment with organisational standards
- Develop and manage SharePoint sites, ensuring information is accurate, accessible, and relevant
- Assist in the process of development, review, and implementation of policies and other business documents to ensure compliance and operational efficiency, identifying gaps and proactively implementing solutions
- Coordinate and track actions and deliverables, ensuring accountability and timely execution across the team and leadership
- Drive process improvements, analysing operations to identify inefficiencies and implement innovative solutions
- Accountable for managing high-complexity tasks and decisions impacting multiple stakeholders
- Serve as a primary point of contact for Production, ensuring seamless support and operations
- Maintain confidentiality and integrity in managing sensitive matters
- Develop and present comprehensive reports and process documentation to leadership
KEY CRITERIA:
- Extensive experience in senior administrative roles involving executive business support, complex project or program coordination
- Experience in leading teams and initiatives to achieve business objectives
- Motivated self-starter with excellent time management skills
- High attention to detail and organisational and problem-solving skills
- Team orientated with the ability to work with a variety of people
- Flexible with a lean-in approach
- Excellent communication skills required, both written and verbal
- Adept at building and maintaining excellent relationships with internal and external stakeholders
- Computer literacy, with intermediate knowledge of MS Suite and SharePoint. Familiarity with Oracle is desirable
- NV1 Defence security clearance or eligibility to obtain
