The opportunity – CLIENT SERVICES COORDINATOR
Reporting to: Business Services Operation Manager
Positions reporting to this role: Nil
Role Purpose: Bringing peace of mind to assigned team through management of processes, ensuring smooth workflow and being the 'go-to' for clients and managers.
Main Duties:
CRM:
- Liaise directly with designated CRM, Manager and team on all client matters as required
- Liaise with clients by telephone and email as required including facilitating ongoing client care and arranging client meetings
- Assist with, (as directed,) initial debt collection from client and escalate issues/problems where necessary
- Attend to, prepare and send client correspondence and completed client work electronically to clients including:
– ATO Correspondence
– Send year end Client Packs
– ASIC documentation
– Monthly and quarterly compliance
– Legal notices
- Follow up CRM and Manager on outstanding matters
Admin:
Assist with and enter prospects & opportunities in the CRM system and provide basic business development reporting and support to the team- Prepare electronic mailing and follow up all client engagement & re-engagement documentation
- Prepare and electronically mail client invoices in accordance with engagement
- Assist with the preparation of ASIC changes and ASIC Corporate compliance for clients as directed
- E-filing responsibilities using SharePoint document management system
- Database management – updating NetSuite cloud database for all client data
- Assist with client work scheduling and performance through the NetSuite workflow management system, including monthly billings report with Job Manager
- Work with the ATO Team to oversee the electronic lodgement of compliance documents, the client ATO portal accounts and ATO requests for Remission ATO penalties and Payment arrangements
- Work with the Corporate Compliance/ASIC team to initiate the establishment of various entities, ASIC registrations, ASIC returns and documents
Desired Skills / Experience:
Minimum 5 years' experience in an administrative or client services role; accounting or financial services industry experience- Advanced Microsoft Office skills
- Superior technology skills/knowledge, NetSuite experience is advantageous
- Highly developed written and verbal communication skills
- Time management skills and the ability to multitask
- Excellent administrative, organisational and system processes skills
- High attention to detail
- A high level of professionalism
Personal Attributes:
Ability to manage varying priorities & high-volume workload- IT savvy particularly with Microsoft Office
- Excellent communication skills including the ability to communicate effectively by telephone, in writing and in person
