In return, we provide an environment where you can drive development, work flexibly and learn fast. **The Opportunity** We are currently looking for a Client Services Assistant to join our Sydney office on a full time, permanent basis. The Client Services Assistant provides a seamless guest experience to our clients (both internally and externally), as well as ensuring that office facilities run smoothly and professionally. **Key reception responsibilities**: - Prompt response of all incoming reception calls; manage the Sydney reception inbox and diary - Greeting clients, receipt of deliveries and arranging couriers and mail services - Scheduling meeting rooms; ensuring meeting rooms are neat, tidy and well stocked - Food and beverage provisions for room bookings - Assisting with office events - Providing overflow support to Melbourne and Perth front of house where required - Point of contact for guest movements and inter-office travellers which involves booing desks and arranging access passes **Induction of new staff**: - Working alongside the HR team to ensure smooth onboarding of new staff - assisting to arrange IT equipment kit, locker allocation, induction timetables, business cards, building access key and introductions to teams - Provide training to all new staff regarding Building and Office Services **Facilities duties**: - Point of contact for Building Management - Assist the Workplace Manager with office projects - Ensure that facilities are maintained and well-equipped - Ordering and maintenance of office equipment; ordering of business cards - Assist in the coordination of the office's Workplace Health and Safety obligations - Assist in the ongoing management of services including air-conditioning, heating, lighting, cleaning and waste removal, secure bin - Processing of facilities invoices **About you** To be considered for the role, you will have: - Exceptional organisational, time-management and administrative skills - Experience handling "cold calls" with skill, professionalism and efficiency - The ability to work well in a team environment and with limited supervision - An ability to build relationships quickly with a wide range of people, with the confidence to work with senior people across the firm - A calm and methodical approach In addition, the following mandatory requirements apply: **What will we offer you?** - **We have a global reach and a local feel. **With 28 offices and 2000 lawyers operating across Asia Pacific, Europe, Africa and the Middle East, you'll be exposed to domestic, international and multi-jurisdictional high-profile work, yet be in an office where everyone knows your name. - **We do things a bit differently. **Legal services are at the core of our business, however we have diversified into other areas providing complimentary services to clients through offerings like Vario flexible services. - **We like to be flexible. **Our firm is professional and allows you to bring our whole self to work.
