The Location and Lifestyle:
Mt Carbine has a rich history of tungsten production and is strategically and conveniently located only 75 kms from the beautiful seaside town of Port Douglas in Far North Queensland where the Daintree Forest meets the Great Barrier Reef. The Mt Carbine Tungsten mine is 120km North of Cairns International Airport via sealed highway. Neighbouring the Mt Carbine township on the Mulligan Highway, The Mt Carbine Tungsten Mine is central to Mossman, Port Douglas, Mareeba, Julatten and Mt Molloy. For those with families, there is a choice of private and public schools, as well as universities and technical education facilities in the area.
About the Role
We are seeking a motivated and adaptable Executive & Contracts Coordinator to join our growing critical minerals company. This is a unique opportunity to be based in Port Douglas, supporting the Executive Team while working on meaningful corporate and operational projects.
This role is not a standard EA position. It combines executive-level support, contracts administration, and project ownership, giving the right person both structure and autonomy. You will assist the Executive Team with day-to-day requirements while also helping to establish new systems, drive projects, and support the company's growth.
Key Responsibilities
- Manage and maintain the contracts register, onboarding of new contractors, contracts review and assist with compliance processes and contractual compliance.
- Provide direct support to the Executive Team, including scheduling, travel and accommodation bookings, and coordination across multiple jurisdictions.
- Support on Environmental Compliance reporting, adherence and timeline.
- Support executives in identifying corporate system gaps and take ownership of setting up streamlined processes.
- Independently manage small-to-medium projects to agreed outcomes.
- Liaise with internal teams, contractors, and external stakeholders as a professional point of contact on behalf of the Executive Team.
- Travel with executives to our Mt Carbine mine site (approx. 1 hour from Port Douglas) 2–3 times per month for meetings and project support and understanding of site projects.
Key Selection Criteria:
- Minimum 3 years' professional experience (ideally 5+) in a corporate, legal, finance, projects or administrative role. Resources / construction would be ideal background experience.
- Strong organisational and communication skills with the ability to handle competing priorities.
- Financial literacy and confidence working with budgets, invoices, and reporting.
- Exposure to contracts, legal documentation, or compliance (desirable).
- A proactive, positive, and solutions-focused attitude.
- Ability to work independently, adapt quickly, and manage multiple executives' requirements.
- Resilience, initiative, and the willingness to take ownership of projects from start to finish.
