This is a fantastic opportunity for an experienced Office Manager, Systems Coordinator or Administrative Professional who thrives on managing multiple tasks, solving problems and working collaboratively in a fast-paced environment and who may be looking to break into the construction industry.
About the Role
As a Project Administrator, you will be a key support to our Project Managers & Site Managers across all phases of the project lifecycle from project set-up through to close-out. In this fast-paced and hands-on role you'll play a crucial role in keeping things running smoothly, coordinating day-to-day project activities and ensuring all documentation and reporting is accurate, timely, and aligned with our high standards of safety, quality and client satisfaction.
What You'll Be Doing
- Coordinating project start-up, planning, delivery, procurement, contract administration and project closure
- Supporting Project Managers with documentation, reporting and tracking schedules
- Managing email communications, distributing reports and processing permits and compliances
- Creating and maintaining project records, systems and templates
- Preparing agendas, taking meeting minutes and following up on action items
- Liaising with internal and external stakeholders to ensure efficient project delivery
- Providing general administrative and coordination support as required
About You
We're looking for someone who brings strong organisational skills, initiative and confidence in juggling multiple priorities.
You'll ideally have:
- 2+ years' experience in an administrative or coordination role (previous experience in construction or trade-based industries would be advantageous, but not essential)
- Effective verbal and written communication are essential for interacting with colleagues, clients and stakeholders. This includes active listening, clear articulation and the ability to tailor communication style to the audience.
- The ability to identify and resolve issues quickly and efficiently is crucial for maintaining smooth operations and supporting other team members.
- Accuracy and attention to detail for tasks such as creating, editing and managing documents
- The ability to adapt to changing priorities, learn new skills and handle unexpected situations is also valuable.
- Proficiency in using various software applications, such as Microsoft Office Suite (Word, Excel, Outlook)
