Job Summary

We are looking for a Manager – Workday Functional Consultant / Administrator to lead our Workday implementation and provide ongoing administration post-deployment. In this pivotal role, you will collaborate with IT leadership and business teams to translate organizational requirements into efficient system configurations. After the successful go-live, you will transition into an in-house Workday Administrator/Owner, ensuring continuous improvements, user support, and the highest standards of system performance.

Key Responsibilities

1. Implementation Leadership

o Coordinate all phases of the Workday project, from initial planning and requirements gathering to configuration, testing, and go-live.

o Develop and maintain a detailed project plan, schedule, and resource allocation to ensure timely delivery of milestones.

o Collaborate with third-party vendors and internal stakeholders to define project scope, maintain budgets, and manage risks.

2. Functional Analysis & Design

o Gather and analyze current business processes, particularly in HR, Finance, and related areas, to identify gaps and opportunities for optimization.

o Translate requirements into functional design specifications, workflows, and detailed configuration guidelines.

o Ensure that best practices are followed for data integrity, privacy, and security throughout the system design.

3. Configuration & Testing

o Configure Workday modules, including setting up business processes, security roles, reporting, and integrations with other internal or external systems.

o Conduct functional and user acceptance testing (UAT), documenting test plans, issues, and resolutions.

o Validate data conversions and integrations to guarantee reliable, high-quality data post-implementation.

4. Training & Change Management

o Create and deliver user training programs and documentation for different stakeholder groups.

o Provide coaching and hands-on support to ensure smooth adoption of new systems and processes.

o Manage change by clearly communicating updates, upgrades, and enhancements to stakeholders.

5. Post-Go-Live Administration

o Act as the primary system administrator for Workday, handling security, permissions, organizational structures, business process configuration, and system upgrades.

o Monitor system performance, troubleshoot issues, and escalate complex cases to Workday or vendor support teams when necessary.

o Manage release cycles, staying informed about new features and enhancements to recommend and implement relevant updates.

6. Ongoing Process Improvement

o Identify opportunities for functional improvements and automation within Workday to increase efficiency and reduce manual work.

o Proactively evaluate new Workday modules or features that could support evolving business needs.

o Maintain updated process documentation to reflect changes in organizational policies or Workday functionality.

Selection Criteria:

  • Workday Expertise:

o Prior experience with Workday implementations (end-to-end) or significant exposure to similar enterprise HR/Finance systems.

o Familiarity with Workday modules like HCM, Payroll, Benefits, Recruiting, Absence, Compensation, or Financials.

o Comfort with data loads, integrations, and reporting tools such as Workday Studio or EIB (Enterprise Interface Builder).

  • Technical & Functional Skills:

o Understanding of core HR and/or financial processes, including compensation, payroll, general ledger, accounts payable/receivable, or other relevant areas.

o Proficiency in requirements gathering, process mapping, and system documentation.

o Ability to diagnose and resolve functional or technical issues, with strong analytical skills for troubleshooting.

  • Communication & Collaboration:

o Excellent written and verbal communication, with the ability to translate technical concepts into business language.

o Strong stakeholder management and collaboration skills, ensuring alignment across multiple teams.

o Proven experience facilitating training sessions and user engagement.

  • Education & Certification:

o Bachelor's degree in Information Technology, Business, Finance, Human Resources, or related field (or equivalent experience).

o Workday certifications (e.g., Workday Pro, Workday HCM/Finance) are highly desirable.

  • Preferred Attributes

o Experience working in complex, multi-site organizations or fast-paced environments.

o Strong project management capabilities, PMP or other relevant certifications a plus.

o Continuous improvement mindset, with an eagerness to learn new features, tools, and best practices.
