About the Role

We're looking for an organised, friendly, and reliable Administrative Assistant/Receptionist who enjoys helping people and keeping things running smoothly behind the scenes.

This is a casual role (3 days per week, 6 hours per day) with full training provided. There's an opportunity to move into a permanent position in mid-2026, and for the right person, the role can develop into a Practice Manager position over the next few years.

You'll be the first point of contact for clients and referrers, helping to ensure every interaction with Skyline Psychology reflects the professionalism and warmth our practice is known for.

Key Responsibilities

  • Welcome clients with warmth and professionalism, both in person and over the phone.
  • Manage appointment scheduling, client intake forms, and clinician calendars.
  • Maintain accurate records in Halaxy and assist with payments and Medicare claims.
  • Prepare correspondence and provide general administrative support to the team.
  • Keep the practice environment organised, tidy, and inviting.
  • Support the Director with day-to-day operational tasks and contribute ideas to improve systems and processes.

What We're Looking For

  • Previous experience in a psychology, medical, or allied health reception or administration role.
  • Confident with Microsoft 365, particularly Outlook, Word, and Excel.
  • Excellent written communication and professional email etiquette.
  • Experience using Halaxy (or similar software) would be a great advantage.
  • Someone who is organised, calm under pressure, and enjoys supporting others.
  • A friendly team player who takes pride in their work and brings a positive attitude to each day.

Please note: This position is not suitable for psychology students or graduates seeking clinical experience or exposure to client work.
