What You'll Do
As a Custody Officer, you will be entrusted with the critical responsibility of supporting the day-to-day administration of custody services for a broad range of clients. Your role will involve managing sensitive documentation, maintaining accurate records of assets, preparing regular reports, assisting with audits, and responding to client enquiries. You will work closely with both internal teams—such as risk, legal, mailroom—and external contacts including clients and legal representatives. Success in this position requires you to demonstrate exceptional organisational skills, uphold rigorous standards of data integrity, communicate effectively across multiple channels, and collaborate seamlessly within your team. Your ability to multi-task across various projects while remaining accountable for each task's completion will be key to delivering outstanding service. By actively contributing to ongoing projects and process improvements, you will help drive operational excellence within the custody function.
- Distribute property and security notices on a daily basis to ensure all stakeholders are kept informed of relevant updates.
- Manage document execution requests efficiently, coordinating with internal teams and external parties such as lawyers when necessary.
- Safeguard and release asset and scheme-related documents in accordance with established protocols, maintaining the highest standards of accuracy and confidentiality.
- Maintain detailed asset records by accurately recording related documents and transactions, supporting data quality and integrity at every stage.
- Prepare monthly and quarterly reports for custody clients, ensuring timely delivery of clear and comprehensive information.
- Assist with annual asset reconciliation processes as well as sample provisions for internal and external control tests and audits.
- Develop and nurture positive working relationships with custody clients through responsive service and effective communication.
- Support investigation enquiries by gathering relevant documentation and liaising with appropriate contacts to resolve issues promptly.
- Contribute to custody upgrade project tasks as required, offering insight into process improvements and system enhancements.
- Undertake any additional responsibilities related to the administration and client services of custody clients as directed by management.
What You Bring
To excel as a Custody Officer, you will bring proven experience in administrative or client service roles where attention to detail was paramount. Your background may include exposure to financial services or other regulated industries where data integrity is crucial. You possess excellent interpersonal skills that allow you to foster trust-based relationships with both internal colleagues and external partners. Your communication style is clear, polite, and responsive—ensuring that all stakeholders feel supported throughout their interactions. You are comfortable managing several responsibilities at once without compromising on quality or timeliness. A natural collaborator who values teamwork as much as individual accountability, you are always willing to share knowledge or lend support where needed. Your adaptability enables you to thrive amid shifting priorities or new initiatives. Above all, your commitment to continuous improvement ensures that you remain dependable in delivering high-quality outcomes for both clients and your team.
- Completion of Year 12 or equivalent educational qualification is required for this position.
- At least one to two years' experience in a similar client service or administrative role is desirable but not essential; candidates eager to learn are encouraged to apply.
- Demonstrated understanding of data quality principles along with meticulous attention to detail when handling sensitive information.
- Proven ability to manage multiple tasks simultaneously while maintaining accountability for deadlines and outcomes across all assigned duties.
- Excellent interpersonal skills enabling you to build rapport with colleagues across divisions as well as external clients and legal professionals.
- Strong written and verbal communication abilities that facilitate clear information sharing within teams and externally.
- A collaborative approach that supports team goals while also being able to work independently when required by specific tasks or projects.
- Willingness to provide insight into project work by identifying areas for improvement or efficiency gains within existing processes.
- Commitment to self-development through ongoing learning opportunities aligned with the evolving needs of the role.
- Adaptability in responding positively to changing priorities or new challenges within the custody administration environment.
