We are currently seeking an experienced Office Administrator to provide critical high-level support for the east coast operations and assist the estimating team in proposals administration.

Reporting to the National Business Development & Tendering Manager, this Melbourne-based position requires a highly organised, proactive, and detail-oriented individual with strong communication skills and the ability to manage competing priorities.

Responsibilities will include:

Office Administration

  • Act as first point of contact for the office (i.e. reception),

  • Maintain office supplies, stationery, PPE/uniforms and equipment,

  • Coordinate meeting rooms, bookings and company events,

  • Support broader teams with administration tasks such as document formatting, travel bookings, filing, and meeting coordination,

  • Assist in onboarding new staff with their IT needs,

  • Provide orientation support and hardware training with new staff on their first day in the office,

  • Support IT with new staff IT hardware requests/consignments,

  • Collect bank guarantees from clients' office as requested.

Proposal & Tender Coordination

  • Assist the estimating team in the end-to-end process for preparing, formatting, proofreading, and submitting tenders, proposals, and expressions of interest (EOIs),

  • Setting up new tender files and maintaining current tender files,

  • Liaise with project managers, estimators, and technical teams to gather and compile content for proposals,

  • Monitor government and private sector tender portals for relevant opportunities,

  • Maintain and update a library of standard proposal documents, templates, project sheets, accreditation, insurances and company capability statements,

  • Ensure all submissions are delivered on time, meet client requirements, and align with company branding and strategy,

  • Support post-tender processes such as clarification responses and records management.

Position requirements:

  • 3 – 5 years of experience in a similar role, ideally combining tender/proposal coordination, and office administration,

  • Exceptional time management,

  • Advanced written and verbal communication,

  • Ability to demonstrate initiative and make good decisions under pressure,

  • High level of accuracy in preparing documents, reports, proposals, and correspondence,

  • Ability to manage multiple priorities, meet strict deadlines, and coordinate tasks across teams and departments.
