Our continued growth has created an exciting opportunity for an experienced and motivated Warehouse Administration Officer to join our Heatherton team.

About the Role

This is a hands-on administrative role supporting warehouse operations, customer service, and logistics coordination.

You'll play a key part in ensuring the smooth day-to-day running of the warehouse office — managing bookings, responding to customer enquiries, maintaining reports, and supporting both internal teams and external clients.

You'll be the go-to link between our warehouse, operations, and customer service teams, helping to ensure every order, booking, and report is completed efficiently and accurately.

Key Responsibilities

General Administration

  • Perform data entry, filing, and accurate record keeping
  • Prepare customer and internal reports, including KPIs
  • Maintain FMS/WMS data and operational reporting
  • Support the Warehouse Admin Manager with general administrative tasks

Customer Service

  • Respond promptly to incoming calls and emails
  • Process bookings and coordinate daily activities
  • Maintain excellent service levels with customers and internal stakeholders
  • Assist with stock takes, small item picking, and other warehouse duties as required

Quoting & Brokerage

  • Assist in preparing internal quotes for out-of-scope warehouse and interstate jobs
  • Coordinate bookings with suppliers, track ETAs, and follow up PODs
  • Resolve customer and supplier queries and reconcile supplier invoices for approval

Pallet Reconciliation

  • Enter and maintain accurate pallet data (2IC system)
  • Manage supporting documentation and PODs

Customer Engagement

  • Attend meetings with new and existing customers to discuss admin and operational requirements

About You

We're looking for someone with strong organisational and communication skills who enjoys variety and working in a fast-paced environment.

You will have:

  • Previous experience in logistics, warehousing, or transport administration
  • Strong time management and attention to detail
  • Good understanding of logistics processes and warehouse systems
  • Reliable follow-up and problem-solving skills
  • Confident PC skills (Excel, Word, Outlook, PowerPoint)
  • Excellent written and verbal communication
  • A friendly, professional phone manner
  • A proactive approach and willingness to uphold the standards of State Transport
