Primary objective

Provide a high level of administrative and project support to the Director and members of the Families as First Teachers (FaFT) unit.

Context statement

The Early Childhood branch provides a holistic range of culturally responsive services and support to early childhood settings and schools

to maximise outcomes for Territory children and young people and promote their continuity of learning from birth. This includes strategic

and operational policy and pedagogical advice, monitoring and support, and targeted program delivery to improve the quality and

integration of early years services and programs. The Early Childhood branch also leads local and national early childhood policy reforms

and key projects, provides advice to the Minister and the department's senior executive, and engages with a broad range of stakeholders

to benefit our clients.

Key duties and responsibilities

1. Provide high level administrative, secretarial and procurement services to support the Director Families as First Teachers Unit and

other Unit members.

  1. Maintain and monitor associated administrative project systems, including travel and procurement, and quality control documentation

sent to the Director and Executive Director Early Years and Primary.

3. Provide secretariat support to meetings and conferences including agenda and minute preparation, meeting support and venue

arrangements as required.

4. Monitor budgets and cash flows, research and correct anomalies, action with agreement of Director and undertake reconciliations as

required.

5. Monitor and coordinate recruitment, training and staff induction processes including coordination of physical, system and security

requirements.

6. Investigate and follow up on a range of matters across the Division and undertake assigned projects.

Selection criteria

Essential

1. Demonstrated experience in the provision of high-level administrative assistance and support, including the ability to undertake

research and synthesise information.

  1. Proven ability to prepare reports and correspondence in clear language, providing options and recommendations.
  2. Demonstrated interpersonal, oral and written communication skills including the ability to communicate effectively and interact with

people at all levels whilst maintaining discretion and confidentiality.

4. High level organisational and self-motivation skills with the ability to use personal initiative to set priorities, work under pressure to

meet deadlines and to perform both without supervision and as part of a team.

5. Proven skills in the effective use of office equipment, computers and software (such as word processing, spreadsheets, record keeping,

SharePoint etc.), and ability to adapt to and utilise specific business systems including travel and procurement.

6. Ability to interact and work effectively with people of diverse cultures.
