As an Administration Officer in our Fleet Office, you will play a vital role in supporting the Fleet Controller and ensuring the smooth operation of freight activities. This position is key to delivering excellent customer service, maintaining accurate documentation, and ensuring compliance with company standards and processes. Key Responsibilities:
  • Carry out general administrative and freight office duties to support daily operations
  • Assist in maintaining DIFOT performance by coordinating appointment schedules, reviewing consignments, and liaising with ports and supervisors
  • Provide customer support through clear and timely communication
  • Liaise with customers to resolve queries, provide updates, and ensure a positive service experience
  • Work closely with the Fleet Controller to ensure efficient freight operations
  • Complete dock searches, reconcile freight discrepancies, and escalate issues as required
  • Prepare and deliver accurate operational reports as required by the Administration Manager
  • Monitor MDT compliance daily in collaboration with the Fleet Supervisor, escalating non-compliance issues where necessary
  • Ensure adherence to company policies, procedures, and audit requirements
  • Share important business information with branch employees in a timely manner
  • Contribute to team training, quality management initiatives, and continuous process improvements
What You'll Bring:
  • Strong customer service focus with excellent interpersonal and communication skills
  • High level of computer literacy, including Microsoft Office (Word, Excel, Outlook)
  • Strong work ethic with the ability to work independently or collaboratively in a fast-paced environment
  • Ability to build and maintain strong internal and external relationships
  • Proven time management and prioritisation skills
  • Previous experience in freight, logistics, or administration (highly regarded)
