Aquila Resources Pty Ltd is a Perth based company that is now in an exciting phase of growth and opportunity. With an evolving portfolio of ongoing and upcoming Iron Ore projects, we are seeking an Administration Assistant who demonstrates initiative and efficiency to support our team at our CBD office on St Georges Terrace.
The Role
The function of the Administration Assistant is to support and assist the Administration Department in all aspects of the office and provide administration support to Perth office staff.
The role is suitable to a true casual with flexible availability of 1 to 5 days per week.
Your supporting role will consist of the following duties:
- Greeting clients and visitors in a friendly and professional manner
- Answering the main switchboard and directing calls
- Sending and collecting mail
- Maintaining the kitchen equipment and ensuring cleanliness of shared office areas
- Ordering kitchen and stationary supplies including packing/unpacking of stock
- Preparing boardroom for meetings and presentations including meeting materials and catering when required
- Booking of travel, hotels, cars and restaurants
- Preparing welcome bags and PPE including the on/off boarding of staff
- Coordinating office storage
- Purchasing of company gifts, PPE and adhoc office supplies and equipment
- Assisting with the management of company cars including logbooks, servicing and maintenance, licence renewals etc.
- Maintaining/record keeping of the admin ledger
- submitting invoices
- Managing the filing and archiving contract system
- raising service requests on the office building system
- Assisting the Administration Department with admin tasks and providing backup when absent
As a proactive Administration Assistant, it is essential that you have a high level of organisational and time management skills and can communicate effectively at all levels.
Essential Criteria
The successful candidate will have:
- Valid drivers licence
- Experience within a similar role
- Intermediate skills in MS Word, Outlook, PowerPoint and Excel
- Demonstrated ability to work autonomously as well as in a team
- Excellent verbal and written communication skills
