About the role.

We are seeking for an Administration Assistant to join our busy design office. This roll can be an immediate start for the right person

  • Manage UPD's front desk by attending to the telephone and, welcoming visitors to the office and offering them hospitality.
  • Attending to mail and providing administration and clerical support to the team
  • Updating UPD's business management software - data entry and record keeping.
  • Manage boardroom bookings, appointment booking and diary management for senior staff
  • Ensuring the office and kitchen has sufficient supplies and our coffee break area is kept running.
  • Providing friendly, accurate and timely customer service to internal and external stakeholders
  • Providing support to the UPD team
  • Ad-hoc support to the project delivery team and cover for other admin roles during leave.
  • Key responsibilities include data entry and filing, project coordination, and client correspondence.

About you.

You are an Administration Assistant or Receptionist who may be looking for their 1st or 2nd job, or you may just love admin If you can remain claim in a busy environment and can shift from one priority to another whilst maintaining your sense of humour, then we may be just what you are seeking. We are busy, very busy and we need you to support our operations with grace and style. You have;

  • Intermediate MS Office skills especially Outlook, Word & Excel.
  • A minimum of 1-2 years in a similar role.
  • Exposure to databases or accounting software will be highly regarded but is not essential.
  • If you can read or understand technical drawings/plans that will highly regarded but is not essential
  • Experience within a professional services environment with engineering or electrical industries being highly regarded.
  • An ability to organise and prioritise tasks effectively to meet client milestones whilst producing a high quality of work.
  • Clear and concise verbal and written communication skills to facilitate the collection and sharing of key information and documentation for internal and external stakeholders at all levels.
  • A proactive approach to identifying key issues and providing practical solutions in real time.
  • Excellent time management skills and can pivot in a dynamic environment.
  • Minimum qualification of Certificate III/IV level is required.
  • Australian work rights are required for this position.
