About the Role:We're looking for an experienced and capable Senior Receptionist to help guide our admin team and keep our front desk running smoothly while our Practice Manager is on maternity leave.
In this role, you'll be the friendly and professional first point of contact for our clients, ensuring every interaction reflects our high standard of care. You'll take ownership of the day-to-day running of the practice's administrative functions and provide support and direction to the reception team to ensure things run efficiently and cohesively.
Our Practice Manager, who hold a hybrid role as a Finance Manager will provide external support while on leave and continue finance related duties. The position will continue once our Practice Manager returns, with plenty of scope to grow and shape the role as the practice evolves. We will accommodate full-time or part-time hours to suit your needs.
Your responsibilities will include:
- Managing the day-to-day administration of the practice
- Supervising and supporting the admin team
- Ensuring efficient reception processes and scheduling
- Maintaining a clean, welcoming environment
- Supporting local marketing initiatives
- Contributing to system improvements and practice development
- Delivers outstanding customer service and genuinely enjoys making a client's day
- Thrives in a fast-paced environment and handles pressure with grace
- Has exceptional time management and multitasking skills
- Communicates clearly and professionally
- Is adaptable, open to change, and always seeking improvement
- Works well independently and as part of a team
- Understands the importance of professionalism and patient confidentiality
- Proven experience in a receptionist or senior admin role (healthcare preferred)
- Minimum 3 years of receptionist or senior administrative experience required
- Knowledge of Medicare, DVA, HICAPS, and NDIS billing
- Knowledge of Medicare, DVA, HICAPS, and NDIS billing systems preferred but training will be provided
- Experience with Cliniko software (highly regarded)
- HR experience (an advantage)
