Qualifications & Experience

  • Excellent Communication skills - verbal & written
  • Strong time management skills with the ability to prioritise tasks
  • Excellent Microsoft Office Suite skills - Word, Excel, Power Point and Outlook.
  • Basic understanding of MYOB to support the service delivery process. (No financial experience required)
  • Experience with CRM and workflow management applications
  • Understanding of Microsoft Teams and Adobe - PDF
  • An understanding of basic Project Management principles
  • Awareness and understanding of OH&S importance in a modern workplace

Tasks & Responsibilities

To provide administrative and pre-sales support to the sales and engineering teams. Ensure efficient proposal preparation, timely customer responses, and smooth coordination of internal processes.

1. Proposal and Documentation Support

  • Prepare and format pre-sales documentation including quotes, proposals, scope of works, and capability statements.
  • Coordinate input from technical and sales staff to compile comprehensive bid and tender responses.
  • Maintain and update proposal templates, capability documents, and price lists.

2. CRM and Sales Data Management

  • Input and maintain accurate customer and opportunity data in the CRM system (e.g., ZOHO).
  • Track pre-sales activity and assist in generating reports and dashboards for managers.
  • Flag follow-up actions, document customer interactions, and support pipeline tracking.

3. Scheduling and Coordination

  • Schedule customer meetings, technical demonstrations, and internal briefings.
  • Coordinate with internal team members (e.g., engineering, operations, finance) for input required during the pre-sales phase.

4. Communication and Correspondence

  • Handle inbound pre-sales enquiries and ensure timely distribution to relevant team members.
  • Draft and send follow-up emails, customer questionnaires, or supporting documents.
  • Liaise with clients for administrative needs such as document collection or form completion.

5. Tender and Bid Administration

  • Monitor tender portals for new opportunities.
  • Manage timelines, submission checklists, and document control for active bids.
  • Submit online tenders or upload documents on government or private tender platforms.

6. File and Resource Management

  • Maintain a digital library of past proposals, pre-sales presentations, and marketing collateral.
  • Track version control for evolving documents and ensure correct templates are used.
  • Organise documentation for case studies, certifications, and compliance records.

7. Reporting and Analytics

  • Prepare weekly or monthly pre-sales reports including KPIs, conversion rates, and proposal turnaround times.
  • Support analysis of success rates of bids and customer feedback.

8. Continuous Improvement

  • Recommend improvements to administrative processes that support pre-sales efficiency.
  • Assist in updating procedural documentation and training materials.
