As part of our continued growth, we are seeking an Administration Assistant to support our dedicated accounting team in our vibrant, innovative practice.

What we need from you:
- Strong ability to plan, prioritise and organise workload to meet agreed objectives
- Ability to delegate appropriate tasks and follow through to completion as required
- Outstanding verbal communications skills;
- Excellent written business communication and reporting skills;
- Demonstrated experience, ability and willingness to build and maintain strong working relationships – both externally and internally;
- Strong problem solving and critical thinking skills;
- High level of attention to detail.
Desirable but not essential (training can be provided):
- You must be able to demonstrate previous experience as an Administrator in a professional Accounting Practice or similar;
- Ideally you must have demonstrated experience using accounting software (Xero and CAS360);
- You must have proven experience using the ATO Tax Agent Portal;
- Intermediate-to-advanced Microsoft Office Suite skills, in particular Excel;
Your duties will include:
- Work closely with partners on developing and rolling out new initiatives
- Lead the administration team
- Oversee day to day practice operations
- Develop and maintain relationships internally and externally
- Participate and conduct regular staff training, meetings and performance review processes
- Be a part of and contribute to a positive team environment and encourage employee motivation, professional development and satisfaction
- Oversee the practice and ensuring third parties maintain a clean, tidy and accessible office
- Expand the practice to make it more profitable and meet the needs of the clients, staff and management
- Maintain practice confidentiality at all times
- Ensure consumables and equipment are kept stocked and maintained
- Attend and arrange relevant training for compliance
- Managing any conflict between staff or customers such as offering solutions
- Assist admin team in maintaining Director's diaries, make appointments and general admin support as necessary;
- Liaise with clients on behalf of the Directors;
- Complete management of Company Secretarial matters (ASIC) using CAS360;
- Assist admin team with completing compliance documents as requested;
- Assist with Lodgement of Income Tax Returns, BAS's and other necessary returns prepared for clients;
- Assist with New Company, Trust & SMSF establishments;
- Assist with ABN, TFN, GST Registrations & PAYG registrations via the ATO & ABR;
- Business name registrations & Business name renewals via the ASIC connect & business portal;
- Liaising with the ATO on behalf of clients as required;
- Assist with Bookkeeping tasks, such as payroll, preparing and lodging BAS & IAS for clients reporting figures to the ATO including Superannuation.
- Implementation of current and new ATO requirements, ensuring overall compliance;
- Full maintenance of Audit Shield – Tax Audit Insurance, liaising with clients and organising annual fee's;
- Invoice management & billing;
- Internal client database administration;
- Liaising with clients in relation to outstanding debt;
- Organisation of staff training, seminars, conferences, events & catering etc;
- Preparation of agenda, minutes, spreadsheets etc for weekly team meetings;
- Assist with the collation of end of year financial packages;
- Assist with internal matters & special projects, i.e. Tax Practitioners Board, Ezidebit, iShred;
- Assist with General admin duties, preparation of written client communications, filing, scanning, archiving etc;
