Perpetual Group is an ASX-listed company (ASX:PPT) headquartered in Sydney, Australia, currently consisting of 11 leading brands across three distinct businesses: Asset Management, Wealth Management and Corporate Trust.  

As the Company Secretariat Administrator, you'll be at the heart of our corporate governance operations. This is a pivotal role where your organisational skills and attention to detail will help ensure the smooth running of board and committee processes, compliance activities, and key administrative functions.

You'll work closely with the Head of Governance & Company Secretary, Assistant Company Secretaries, and a range of stakeholders across the business, including executive assistants and committee members. Your day-to-day will involve managing calendars, coordinating meetings, preparing agendas, and supporting the production and distribution of board and committee papers. You'll also play a vital part in maintaining statutory records, lodging documents with regulatory bodies (ASIC and ASX), and keeping our internal systems up to date.

Key Responsibilities:

  • Provide general administrative support to the Secretariat team, including calendar management.

  • Maintain timetables for board and committee meetings and draft agendas for review.

  • Assist in the production and timely distribution of board and committee papers.

  • Draft shell minutes based on meeting packs.

  • Ensure records are accurate, up to date, and statutory lodgements are made to ASIC as required.

  • Maintain statutory records and document registers for all companies.

  • Provide information on directorships and officeholders as requested.

  • Ensure up-to-date certification of Officeholder KYC documents.

  • Lodge documents regularly with ASX and ASIC via online portals.

  • Keep intranet pages current and upload documents as needed.

What We're Looking For:

  • 5+ years' administrative experience in a legal, financial, or corporate environment (preferred).

  • Tertiary education desirable but not essential.

  • Proficiency in Microsoft Word and Excel.

  • Strong organisation, prioritisation, and coordination skills.

  • Excellent attention to detail and ability to work autonomously.

  • High level of verbal and written communication skills.

  • Ability to anticipate needs and potential issues.

  • Commitment to meeting deadlines and delivering high-quality work.

  • Excellent computer/keyboard literacy.

  • Ability to build effective relationships with key stakeholders.

  • Strong team player who thrives in a challenging environment.
