The Role: The Backbone Behind the ScenesYou're not just scheduling shifts. You're helping run the engine room of some of the biggest live events in the country. Before the lights go on and the bass drops, you're the one making sure the right crew is in the right place, with the right gear, at the right time.
Here's what you'll be doing:
- Rostering & Scheduling: Coordinating shifts for both permanent and freelance crew based on project requirements. Flexibility and accuracy are key.
- Payroll & Leave: Managing time sheets, TOIL, and staff leave in collaboration with the Operations Manager.
- Compliance & Training: Keeping licences and certifications current, booking training, and maintaining a focus on safety and standards.
- Travel & Freight: Booking crew travel, managing vehicle and freight logistics, and staying on top of event requirements and budgets.
- Onboarding & Admin: Supporting onboarding and inductions, raising purchase orders, and handling reporting and admin with precision.
- Out-of-Hours Coordination: This is a 24/7 industry. Early starts, late finishes, and occasional weekends are part of the game, and we back our team to deliver when it counts.
This role calls for someone with sharp attention to detail, a calm head, and the ability to juggle a lot at once. You don't just react, you plan, anticipate, and adapt.
You'll thrive in this role if you:
- Have experience in rostering, workforce coordination, logistics, or event operations.
- Understand the pace and pressure of the live events world or can keep up with it.
- Can build strong relationships with internal and external stakeholders.
- Are confident using scheduling and workforce management tools (Personnel Manager experience is a big plus but not essential).
- Communicate clearly, professionally, and with purpose.
- Are level-headed, solutions-focused, and comfortable making decisions under pressure.
