PCYC NSW is looking for a dedicated and detail-oriented Finance Administrator for an 8-month contract role, working 22.5 hours per week (3 days), to join our team and contribute to the success of our OOSH program.

ABOUT THE ROLE

Reporting to the Financial Controller, this part-time, 8-month contract role plays a crucial part in ensuring the smooth financial operations of PCYC NSW's Out of School Hours (OOSH) Program.

In addition to CCS submissions, invoicing and financial queries, this role also provides hands-on support to OOSH Coordinators, Support Managers and external agencies to ensure accurate, timely and compliant financial administration.

You will:

  • Ensure timely and accurate submission of CCS claims and monitor their status
  • Manage CCS/ACCS updates in PRODA, including backdating, amendments, resubmissions and withdrawals
  • Follow up unpaid or rejected payments, process refunds, and negotiate payment plans with families
  • Manage financial enquiries and provide clear guidance on billing, payments and CCS requirements
  • Investigate and resolve family account discrepancies in Xplor to ensure correct billing and subsidy use
  • Create government enrolments and support families to complete CCS activity tests
  • Work closely with DCJ and other agencies to support children under ACCS or special conditions
  • Provide training and ongoing support to new and existing coordinators on finance and subsidy processes
  • Assist with policy updates, fee reviews and compliance requirements
  • Support and participate in service audits and contribute to improvements in administrative procedures

This role requires strong problem-solving skills, excellent attention to detail, and the ability to support both families and internal stakeholders.

Established in 1937, PCYC NSW is a life changing charity collaborating in partnership with communities and NSW Police to empower youth, get kids active in life and reduce and prevent youth crime. We have sixty-six clubs and eighteen OOSH services across NSW, with a vision for significant growth.

Our aim is to engage with and positively influence over 70,000 youth members through mainstream sport, recreation, education, leadership, and cultural programs. We also work with at-risk youth to break the cycle of disadvantage through crime prevention, vocational education, youth capacity building and social responsibility programs to enhance the life direction and outcomes of over 7,500 youth per year.

ABOUT YOU

You are an experienced finance administrator with strong skills in accounts management, CCS/ACCS processes, debt control and customer support. You thrive in a fast-paced environment and can manage complex family account scenarios with confidence and empathy.

You will have:

  • Proven experience in accounts management or financial administration
  • Experience managing CCS, ACCS and PRODA processes
  • Understanding of debt control, refunds, and payment plan management
  • Experience resolving account discrepancies and liaising with families and agencies
  • Ability to train and support staff on financial processes
  • Proficiency in accounting software, Xplor, and the MS Office Suite
  • Excellent customer service and communication skills
  • Strong attention to detail and problem-solving ability
