About the business unit
Coronial Admissions and Enquiries (CAE) provides a 24-hour service that is the first point of contact for coronial and forensic pathology processes. The office coordinates the activities related to the initial phase of the Coroner's investigation into deaths. These activities principally concern an assessment of the body and the gathering of information, much of which is medical in nature.
About the role
The Medico-legal Executive Assistant provides office administrative and stenographic support for the Duty Coroner and Pathologists, which forms part of the Coroners Court of Victoria investigation into a reported death.
This position is part of a multidisciplinary team and the Medico-legal Executive Assistant participates in shift work on a seven day a week roster.
**Some of your duties will include**:
- Providing executive assistance to the Assistant Manager, the Coroner and the CA&E team on duty.
- Performing case related data entry, preparing documents, collating information received and create case files for the Coroner and the team on duty, in support of the investigation process.
- Preparing and distributing case lists for daily Duty meetings and providing secretarial support at the meetings including transcription of decisions and outcomes onto the relevant case management systems for the Coroners Court of Victoria (CCOV) and VIFM.
- Managing patient medical records and VIFM records and files.
- Supporting all functions of the CAE, including taking reports of certain deaths, managing telephone enquiries and correspondence as well as undertaking the follow up and collection of additional information.

About you
**To be successful in this role, you will have**:
- Proven experience in medical or health administration with demonstrated experience working as a member of a multi
- disciplinary team.
- Excellent verbal and written communication skills and familiarity with handling medical records and sensitive personal health information.
- Exceptional organisational skills including ability to implement improvements to office systems including filing and records management systems.
- A high level of computer literacy, including use of database systems and electronic transcription systems.
- The ability to work calmly and consistently under pressure, to deal with competing priorities and to meet inflexible deadlines in a challenging and sensitive work environment.
Shift / On call / Weekend requirements
- Ability to participate in shiftwork on a seven day a week roster.

- Your immunisation history statement (available via your myGov account)
Other documentation outside the above will not be accepted as evidence of having received your COVID-19 vaccine doses.
