**ABOUT THE COMPANY** Lotus People are delighted to be assisting in the recruit of an Event Coordinator & Office Support for a leading international organisation who also operate in every state of Australia. This business is well known in their space and have a fantastic name in the market. With Offices in Brisbane city, they are a leader in their field and have an excellent reputation. **ABOUT THE ROLE** As Event Coordinator / Office support your role will be primarily to manage end-to-end logistics of the events both in person and online. This opportunity will require occasional travel and offers a hybrid working split, 2 days a week in the office.
While the role manages both in person and online webinars and courses, this is considered a customer facing role and requires an excellent level of customer service.
**DUTIES**
- With guidance from the Manager, Online Professional Development, develop a rolling twelvemonth plan of professional development programs for members and non-members on topics that are relevant and practical.
- Working alongside the Manager, Online Professional Development and CPD team to establish and maintain a database of presenters and potential topics and share with colleagues ensuring there is consistency and cohesion across both face to face and online programs.
- Coordination and administration of all online events. Securing appropriate presenters in a timely fashion, ensuring all fees decided are in accordance with budget limits and all contracts completed.
- Working alongside the Manager, Online Professional Development to schedule online events.
- Once online events are added to the calendar, prepare session planners, and update and promote the event via the member management system (MMS) and website.
- Management of the CPD online webinar platform, attending regular update meetings to continue to add value through knowledge of the platform.
- Prepare and manage profit and loss statements for each event to ensure they are financially viable and to make appropriate arrangements to cancel, postpone or replace events that are not profitable in a timely manner.
- Oversee practicalities of events management such as processing of event registrations, greeting attendees, introduce presenters and manage all housekeeping aspects of online events being run.
- Organise and attend special online events as required, such as student events, student pathway masterclasses
- Ensure presenters notes and materials are on brand and provide value for participants for each program.
- Attendance at in person CPD sessions for the registration of delegates, coordination of catering, networking with members and the introduction of speakers and housekeeping announcements.
- Manage the logistics of each in person event to ensure administrative tasks are completed, room is set up and catering has been ordered and setup for session breaks.
- To provide evaluation reports at the conclusion of every online event to the Manager, Online Professional Development, CPD Team and presenters.
- Ensure all registration enrolments and payments are processed and confirmations sent within 24 hours of receipt.
- Actively participates and reports on work in progress in the weekly meeting with the Manager, Online Professional Development and at the monthly national CPD meetings.
- General calendar management for the office to facilitate events and workshops.
- Face to Face duties (setup, print notes, welcome attendees order catering as required)

- High-end time management, organisational and influencing skills, including ability to prioritise tasks.
- Exemplary communication skills, both written and oral, including speaking in public.
- Strong event management skills.
- An ability to learn and master new processes and IT tools and technologies.
- Sound research competence.
- Ability to design and complete tasks with mínimal supervision.
- High attention to detail.
- Being a team player - willingness to learn the functions of other positions and fill-in for other staff at peak times or in their absence.
- A strong motivation to succeed both personally and within the context of the team and organisation overall.
- Strong personal qualities - commitment, discretion, loyalty, cheerful and enthusiastic disposition, grooming and punctuality.
- Ability to work outside of office hours as needed and travel as required.
