**Your Role**:
To provide travel support and coordination to the Australian business, and additionally provide administrative support to leaders in the business as required, to ensure efficient and effective function of their responsible departments.
**Your Responsibilities**:
Maintains and upholds the strictest level of confidentiality at all times
Coordinate and arrange all travel requests for Australian based employees as directed and provides additional support for international staff as required.
Ensures travel bookings are compliant with the Chubb Travel & Expenses policy
Acts as the central liaison and coordinator for the company travel provider account
Provides seamless travel project coordination during key events as required
Provides seamless diary coordination, ensuring meeting rooms are booked for all meetings, appropriate travel time is allocated for external meetings, and ample preparation time is provided for meetings and other, where required
Fields enquiries and requests from internal staff and external clients, ensuring prompt escalation of important matters where needed. Works autonomously and makes informed decisions in the absence of the assigned leaders as required
Communicates with external senior executives in a professional and courteous manner, on a regular basis. Develops and fosters internal and external relationships with staff and stakeholders
Coordinates the organisation of functions, lunches, dinners, conferences, and in-house meetings as needed
Processes and ensures alignment of expenses for the assigned executive leaders
Manages annual leave approvals for the executive leaders’ review
**Qualifications**:
**Your Skills & Experience**:
Three to five years experience in a travel coordination role, and/or providing support for senior management in a corporate environment
Strong interpersonal communication and negotiation skills
Ability to work autonomously, employ initiative to find solutions, proritise and excersise discretion
Techincal competence with software packages including Microsoft Word, Excel and Powerpoint
Attention to detail, excellent keyboard skills
Proactive and flexible approach to work
Excellent organisational and administrative skills
Ability to liaise at an executive level, work under pressure and multi task
