**The opportunity**
You will primarily provide project and general administration support to our Property Compliance team based in our **Sydney**office to help them deliver technical and consulting services, studies and investigations, on a broad range of projects. You will help foster a strong client, quality and safety culture.
This is a pivotal role in which you will have the opportunity to build relationships with the Project Managers and technical staff, external contractors, our Business Support team and most importantly directly with our clients.
Day to day, this role will see you:
- Assist the Project Managers (PM) with setting up and maintaining project files, cost sheets and document control
- Develop relationships and rapport with our Clients and provide direct communication updates
- Manage incoming communications and work requests
- Schedule site visits with our Clients, WSP staff and other stakeholders
- Assist PM with project procurement, including liaising with project accounting staff, accounts payable to process prompt payments, client portals, credit card reconciliation, timesheet and expense management
- Assist with tender and bid preparation, track project deliverables
- Maintain safety tracker using Power BI (e.g. observations, audits, incidents) and produce lessons learned reports
- Liaise with PM to ensure quality protocols are in place for critical services
- Coordinate employee mobilisation and onboarding requirements (e.g. travel booking, training courses and medical checks) and prepare travel documentation
- Review non-technical documents and presentations; proofread for accuracy, compliance with corporate policies and formatting adherence
- Input property, user, and contractor data into the property compliance system (Uptick), maintain audit and certification routines, request and review contractor signoffs, and prepare annual compliance documentation such as Annual Fire Safety Statements (AFSS)

In addition, you will bring the following:
- At least 2 years of office/team administration or project coordination
- Comfortable and confident with technology - we require a developed skill level across Microsoft Office suite (Word, PowerPoint, Excel and Outlook) and ideally some familiarity with Office 365 (Teams, SharePoint, OneDrive for Business, Delve etc.)
- Strong organisational and time management
- Excellent communication and relationship-building skills
- A self-starter who can work independently, but also contribute proactively to a strong team environment
- Ideally, experience in the review and processing of fire services contractor certifications and maintenance declarations, within an audit consultancy or fire services maintenance provider environment (non-mandatory requirement)
- Familiarity with the “Uptick” asset maintenance software platform (non-mandatory requirement)
