**McMillen Jacobs Associates** is a full-service engineering firm in the transportation, heavy civil underground, water resources and hydropower markets. We are leading professionals in design and construction support services for underground tunnels and stations, deep shafts, large-diameter wastewater and water tunnels and pipelines, heavy rail, light rail, hydropower and water conveyance design, as well as construction claims and dispute resolution.

Currently serving clients with over 450 staff members from 21 offices located in Australia, New Zealand and North America, our technical skills include: geotechnical, structural, civil, mechanical, and electrical engineering; tunnel and underground project engineering.

This position will play a central role in keeping project operations/activities organised, on track, and moving forward. This person will work closely with project managers on administrative duties, document control, and quality control.

This position requires **exceptional communication and organizational skills**, the ability to **manage multiple tasks** efficiently, and the ability to **work productively in a fast-paced, team-oriented environment.**

The Project Administrator will join McMillen Jacobs' Project Controls Group, which offers with a defined career path and ample opportunities for growth and professional development.

**Responsibilities**
- Responsible for following all document control processes and procedures
- Recording and transmitting incoming and outgoing documentation
- Responsible for document numbering, revision control
- Responsible for document quality control
- Assist in documentation preparation and verification using internal and external guidelines
- Using specific software programs for the sharing and transmission of documents. These programs may include but are not limited to: TeamBinder, Aconex, SharePoint, Bentley
- Be a focal point for incoming and outcoming documents
- Provide support in a team environment to achieve delivery
- Ability and willingness to adapt, quickly learn and put to use new skills and knowledge brought about by rapidly changing structure, process, information and/or technology
- Building and maintaining relationships with the project team and stakeholders
- Fostering a culture of inclusion, responsiveness, honesty and accountability
- Assist PM in project closeout tasks, lessons learned evaluation, and final reporting.

**Qualifications**
- 3-4+ years' document management experience using a document management system
- Strong written and verbal English communication skills
- Proficient in Microsoft Office
- Experience with MS Office, ProjectWise, Bluebeam, Aconex and TeamBinder is advantageous.
- Familiar with standard quality management practices
- Confident operating in a client-facing role, with the ability to collaborate with a wide range of stakeholders
- Able to demonstrate a high level of professionalism, independence, interpersonal skills, and flexibility in the performance of duties.
