**About the Marketing Operations Officer role**:
The Marketing Operations Officer plays a vital role in ensuring the smooth operation of the divisional marketing team. This role is responsible for managing team logistics, overseeing merchandise inventory and distribution, and handling purchase order systems and supplier payments. Additionally, it provides general support across various tasks, including event coordination, content production and project management.

A key focus of the role is to develop and refine processes that improve operational efficiency and effectiveness. By driving process improvements, managing budgeting processes and purchase orders, and coordinating marketing initiatives, the Marketing Operations Officer ensures that operations run smoothly and align with broader business objectives, ultimately contributing to the success of our brands.

**Key Result Areas**:
**General Support Tasks**:

- Provide administrative support to the marketing team, including scheduling meetings, preparing presentation materials, and maintaining documentation.
- Conduct market research and data analysis to support marketing strategy development and competitor monitoring.
- Assist in the coordination of marketing collateral and merchandise production and distribution.
- Support production and currency of branded toolkits.
- Contribute to the development and maintenance of marketing databases.
- Monitoring the marketing team inbox and responding to enquiries accordingly.
- Support the ACAP Mental Health Clinic with campaign and collateral requests.
- Coordinate monthly newsletter schedule and content production.

**Event Planning and Coordination**:

- Assist in planning and organising marketing events, such as conferences, expos, and workshops, for our brands.
- Coordinate logistics for events, including venue bookings, vendor management, travel arrangements, and on-site coordination.
- Collaborate with internal stakeholders to ensure seamless event execution and adherence to established brand guidelines.

**Task Management**:

- Support the marketing team in coordinating and prioritising tasks, ensuring timely completion and effective communication among team members.
- Maintain project management tools and systems to track progress, deadlines, and deliverables.
- Coordinate content creation, proofreading, and approval processes to support marketing campaigns.
- Coordinate logistics for photoshoots and filming projects.

**Budget and Purchase Order Facilitation**:

- Assist in managing marketing budgets for the divisional marketing team, ensuring accurate tracking and adherence to financial guidelines.
- Facilitate the creation, tracking, and processing of purchase orders and invoices, maintaining records and ensuring timely payment.
- Liaise with finance leaders across the division in support of the budget tracking and expenditure of the divisional marketing team.
- Support the budget tracking and expenditure processes of the divisional marketing team as required.
- Support the divisional marketing team members in the budget tracking and expenditure processes of the business.
