Embark on a journey with Shootsta, where we’re passionate about unlocking the power of video for businesses. Our mission is to provide stunning, shareable, and easily accessible video content - and to simplify the process for businesses large and small. Video is the heartbeat of audience engagement, employee training, and product launches, and as we continue to grow, we're looking for a dedicated Executive Office Manager to support our team and contribute to our success.
As the Executive Office Manager based in our Sydney office, you will play a pivotal role in leading the office operations and supporting the executive team to ensure everything runs efficiently. Your work will involve closely collaborating with the Senior Management Team, acting as a key liaison between HR, IT, and other business departments to align office functions with our company strategy.
In this role, you will ensure the smooth daily operation of our office by overseeing all aspects of office administration, managing budgets, and handling relationships with vendors. You'll also manage office setups, coordinate onboarding processes, and oversee system implementations, making sure you're the go-to person for any HR or IT-related queries.
Leadership is at the core of this role, where you will lead and manage the Office Assistant, delegating tasks and ensuring they provide effective support to the Management Team. Additionally, you will coordinate key business projects and initiatives, ensuring that deadlines are met and that project deliverables are in line with our broader business goals.
System management will also be a key focus, as you implement and maintain critical systems designed to enhance office productivity and align with our business objectives. Furthermore, you will lead the planning and execution of company events, ensuring everything runs smoothly from start to finish, contributing to a well-organised and efficient office environment.
**Role Requirements**
To excel in this role, you’ll need:
- 5+ years of experience in office management or executive support in a fast-paced environment.
- A deep understanding of HR/IT processes and systems management.
- Proven leadership skills, with experience managing a team and delegating tasks effectively.
- Outstanding organisational abilities, with a proven track record of managing multiple priorities and meeting deadlines.
- Excellent communication skills with the ability to collaborate across departments and with external stakeholders.
- A proactive, problem-solving mindset and the ability to handle confidential matters with discretion.
- Experience with system implementations and budget management would be a strong advantage.
