As Office Manager, you will be an integral part of Australia Zoos Executive Team, and are required to show a high level of professionalism, commitment and dedication to this role.
The Office Manager is responsible for keeping the office running smoothly and overseeing administrative support of Australia Zoo’s Executive Team. The Office manager is employed to encourage and preserve a pleasant workplace environment, and to ensure the office runs to its maximum potential at all times.
A successful applicant must be fit for physical work, enthusiastic, mature-minded, confident, well-presented and able to demonstrate a high level of work-ethic and initiative. Customer Service skills are also a must.
**Duties include -**
- Oversee Australia Zoo office administration and maintain office services by organising procedures, designing filing systems, and assigning and monitoring clerical functions.
- Ensure the organisation and maintenance of schedules and calendars.
- Oversee the maintenance and cleaning of the primary office spaces.
- Facilitate Australia Zoo travel requests upon Senior Management Request.
- Escort media/film crew throughout Australia Zoo when required.
- Oversee and support General Assistants, Receptionists and office staff to ensure maximum productivity.
- Remain up to date with the latest zoo and animal information to pass on to enquiries.
- Monitor the Meeting room bookings for management via the Google Calendar.
- Monitor the VIP seating requests via the Google Calendar.
- Monitor radio calls and emergency communication protocols
- Covering general Receptionist Desk duties when needed.
- Assist the General Managers and the Executive Assistant to the General Managers and completing tasks as instructed.
- Provision of weekly reports to management.
- Proficient use of computers, printer and software including Microsoft Word, Excel, outlook, Firefox and google.
- Operation of Australia Zoo vehicles and adherence to all regulations as per the Zoo Procedures Manual.
- Ensure security, integrity and confidentiality of data.
- Understand efficient time management and work practices.
- Encourage good team environment within and across teams.
- Form good communication skills with public & staff.
- Ensure company ethics and professional standards are adhered to at all times.
- Maintain Australia Zoo’s customer service standards.
- Maintain and ensure a commitment to confidentiality and privacy.
- Maintain an appropriate level of attendance.
- Participate in performance training and development reviews or programs as requested by the company.

**Essential Criteria -**
- Office & Administration experience
- Hold current Driver’s Licence and own transport
- Proficient in the following Skills: communication, analysis and assessment, judgment, problem solving, decision making, planning and organization, time management & attention to detail.
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook and Google
- Demonstrated ability to provide a high level of customer service to members of the public
- Demonstrated desire and passion for the industry
- Excellent presentation
