About the Aged Care Quality and Safety Commission
The Aged Care Quality and Safety Commission (the Commission) was formed on 1 January 2019. We work to improve the lives of older people by maintaining the integrity of the aged care system.
As the single independent regulator of Australian Government aged care services, we offer a variety of interesting and challenging jobs across most capital cities.

About the Team
The Approvals, Compliance and Investigations Group builds trust in the aged care sector in the
**following ways**:
Assessing and approving new providers of aged care, ensuring that they have demonstrated appropriate preparedness, resources, planning and intent to provide safe, quality care for consumers.
Managing the assessment of Serious Incident Response notifications.
About the Role
As an Executive Support Officer, you will provide a range of executive support and administrative
services to the Approvals and Serious Incident Notifications (ASIN) Team.
This role is based in the Executive Support Team in ASIN and reports to the Executive Officer.
Position Duties
Managing the administration processes related to the recruitment and onboarding of staff for ASIN as required by Commission policies and procedures.
Managing the administration of staff movement within ASIN, including capturing this within our databases and staff reporting tools.
With support of the Executive Officer, undertake procurement activities required by ASIN.
With support of the Executive Officer, keep track of financial activities as required.
Provide administrative support for project work and operational initiatives to support achievement of Commission priorities. This includes booking meetings, coordination, monitoring timelines, tracking progress, and following up with stakeholders as required.
Coordinating and dispersing information across ASIN as required.
Providing back-up support to the Executive Assistant as required in relation to high-level administration support, co-ordination, and delivery of communications, collaborating with internal and external stakeholders and data management and reporting.
Anticipating, organising, scheduling and coordinating all travel and conference arrangements (including flights, surface travel and accommodation) for the ASIN Group and managing supporting documentation consistent with the Commission’s policies and procedures.
Providing high level administrative support to the Executive Director, including managing stakeholder requirements and expectations, including meeting logistics.
Completing credit card acquittals and reconciliations.
Assistance with creation and maintaining the group’s SharePoint site, organisational structure, distribution lists and records management.
**Position Eligibility Requirements (Selection Criteria)**:
To be successful in this role you will need to demonstrate the following:
Strong administrative and organisation skills, as well as strong interpersonal skills.
Demonstrated experience in administration support roles.
Attention to detail with strong written and verbal communication skills with a strong customer service focus.
Strong organisation and time management skills, working with competing priorities and ability to prioritise and manage a diverse workload.
A highly motivated, positive, engaged, flexible and resilient approach.
Demonstrated ability to effectively manage interpersonal relationships with respect and communicate well with internal and external stakeholders.
Proactively anticipate needs and priorities and reliably respond to urgent requests.
Experience in SAP and ConnX systems.
Ability to work both independently and productively as part of a small geographically dispersed team.
Be an effective representative of the organisation, acting professionally including adhering to APS Values and Code of Conduct.
**Essential requirements**:
Previous experience proving high-level support.
Previous experience in a government or similar administrative setting is desirable
**Position Notes**:
Salary offered will be between $83,048 - $89,813 per annum depending on skills and experience. In addition, 15.4% superannuation will be paid.
Non-ongoing opportunity will be offered for an irregular/intermittent term. Opportunities will be offered for varying periods up to 12 months with the option to extend to a total of 24 months.
