**The role and what we are looking for**
As PMO Project Coordinator you will work closely with project team members, project managers, program manager and project leads to help deliver major organisational projects efficiently by providing project coordination & administration support.
**Project Support Activities**
- Arrange and attend project meetings across various project streams, taking notes and distributing meeting minutes.
- Assist with workshop planning, agenda preparations, presentations and maintains logs and registers
- Develop (in consultation with stakeholders) robust project schedules including identifying sequence of tasks, dependencies between tasks and effort to complete.
- Manage the project plan using MS Project or similar, reviewing the plans regularly to ensure tasks and milestones are being achieved in a timely manner.
- Assist change manager in support activities as outlined in the change and comms plan
- Ensure governance requirements for the project are met as set out by the Project Management framework
- Support resource management activities such as identifying conflicts, leave calendars, recruiting support, induction of new project team members
- Take an active part in the project risk/issue management process by contributing to the identification and prioritisation of existing and potential risks and issues.
**Document Management and Reporting**
- Create and maintain comprehensive project documentation, plans and reports
- Document management and sharing relevant documentation and reports with project teams
- Set up and maintain project files and establish document control procedures
**Budgeting and Reporting**
- Monitor, analyse and report on project budget and forecast to the Project Manager.
- Assisting managers with development of status reports and Program board reports
- Process invoices, update financial reports, and maintain files for audits/governance purposes if required
**Skills, Knowledge and Attributes**
- Have a broad knowledge of project and program management methodologies.
- Strong leadership and management skills;
- Experience in business case writing, benefits tracking and financial modelling
- Ability to work positively with the wide range of individuals involved in program management;
- Good knowledge of budgeting and resource allocation procedures; and
- Uses comprehensive knowledge and skills to work independently while guiding and training others on managing projects and/or programs within desired cost, time and quality parameters.
- Demonstrated understanding of systems and processes within a complex environment;
- Demonstrated ability to meet deadlines without compromising close attention to detail and accuracy;
- Sound knowledge of IT infrastructure and IT technologies; and
- A sound knowledge of Project/Program management frameworks & AgilePM methodology
**Experience & Skills**
- Previous working experience as a Project Coordinator for 2 year(s)
- Experience in project management, from conception to delivery
- Strong working knowledge of Microsoft Project/Microsoft Planner or similar
- Experience in working with the Atlassian product suite - Jira, Confluence
- Solid organizational skills, including multitasking and time-management
- Attention to details and proactive problem solver
- Strong logic and analytical thinking.
**Qualifications**
- PMP / PRINCE2 certification (desirable)
- Business degree or similar (desirable)
- Certificate in Project Management or similar (desirable)
