**About the role**
Reporting to the Lumify Training Manager, we are in search of a capable and seasoned Training Admin Support professional to oversee the intricate landscape of Defense-oriented training programs. This role demands an individual well-versed in managing the logistics, coordination, and execution of training administration, ensuring seamless scheduling and participant readiness. If you're a detail-oriented professional with a knack for navigating the complexities of Defense training contracts, we invite you to take on this impactful role in our team.
**Key responsibilities**
- Pre-Session Activities:_
Prepare and organize the PMKeyS Training calendar of events.
Coordinate logistics for face-to-face course offerings at Defence sites, ensuring adequate systems for participant accommodation.
Manage participant nomination and enrollment processes using the designated Defence platform.
- Issue electronic joining instructions to participants with a minimum of 10 working days' notice.
- Post-Session Activities:_
Promptly distribute level 1 evaluation survey links to all participants within 1 working day post-session.
Record successful participant completions in PMKeyS or other designated Defence systems within 5 working days.
Issue participant completion notifications to students within 5 working days.
- Submit completed Attendance Records to the identified Defence point of contact within 5 working days, including instructors' assessments and suggested remedies for participants not yet proficient.
- DLB Administration Duties Pre-Zoom:_
Act as the primary point of contact for trainer communication, responding to inquiries at all hours.
Follow up on DLB-related issues such as missing students, no-shows, and access prerequisites.
Create and distribute comprehensive venue information spreadsheets.
Coordinate with trainers regarding attendance records and training notifications.
- Assist in maintaining and updating essential databases and documentation.
**About you**
Demonstrated experience in administration, preferably within Defence or related sectors.
Proficiency in utilizing Defence platforms such as PMKeyS and MILIS.
Exceptional organizational and communication skills.
Ability to work efficiently in a fast-paced, dynamic environment.
- Strong attention to detail and a proactive approach to problem-solving.
