**The Role**
The Executive Officer for ICT Service Delivery and Reform Division (ICTSDRD) works directly to the First Assistant Secretary (FAS) providing a range of executive support, advice and coordination functions.
The main function of the role is to plan, manage, lead and coordinate complex activities for the FAS including:
- Ensuring the executive team are appropriately prepared to attend meetings, including inter-departmental meeting
- Leading with and coordinating talking points, briefings packs and presentations, including for the Associate Secretary and Chief Information Officer (CIO)
- Planning and executing visit schedules and strategic engagements, including travel and speech preparation
- Establishing and maintaining effective and productive working relationships with internal and external stakeholders, especially the offices of the CIO and Associate Secretary as well as other senior executives
- Helping the executive team to manage high priority and sensitive issues
- Coordinating papers at Defence senior committees and meetings, conducting peer reviews and amendments prior to submission
- Review and contribute to Ministerial and Cabinet submissions developed by the Division, Group and Department.
**About our Team**
ICTSDRD is responsible for managing the group business operations and works cross functionally to align processes and performance, champion reform and continuous improvement, and support integrated service delivery. ICTSDRD comprises the Group central functions to allow better control, consistency and coordination over the operations of CIOG business, and provides the support necessary to drive the change associated with the ICT Transformation.
The ICTSDRD Executive Officer leads a small face paced team who provide financial, executive, coordination and governance support directly to FASICTSDR and the ICTSDRD Executive.
To be successful in this role you need to be able to:
- Work with mínimal supervision to prioritise, research, coordinate and deliver a full range of high quality deliverables in a busy small team environment
- Effectively manage the executive office, including staff supervision, prioritising key activities and conducting quality checks to help ensure deliverables meet senior stakeholder/committee requirements
- Provide regular, considered and thought out advice to members of the senior executive team on how best to stage work and consult stakeholders (senior defence stakeholders and external parties)
- Skillfully manage a range of competing priorities, effectively adjust to changing work demands and deliver successful outcomes/meet deadlines
- Have high-level stakeholder management skills, including the ability to build productive relationships and engage with a wide range of people
- Work collaboratively, anticipate requirements and resolve issues
- Have a good knowledge of, or the ability to gain the knowledge, of ICT concepts and the Defence Capability Lifecycle, especially the capability submission approval process.
