About You
The Advisor is one of three specialist roles that are responsible for a range of tasks relating to the administration of the Higher Education Support Act (HESA) and VET Student Loan administration and associated compliance obligations. The Advisor will provide a high level of service and expertise with a focus on student enrolment processes and procedures in relation to government reporting and Commonwealth Assistance schemes.
Activities will vary according to the cycles within the academic year and requires expert use of RMIT’s student management system as well as certain Government systems to identify issues, make corrections to student records, and ensure key processes are run effectively and to schedule throughout the year.
The incumbent will participate in enrolment support activities across Enrolment and Student Records as required. Occasional evening and weekend work and restrictions on annual leave may be necessary during peak periods.
To be successful in this position, you’ll have as a minimum:
- Demonstrated experience and expertise in the provision of quality student administration advice and services; including a sound understanding and working knowledge of Federal legislation and procedures. Highly desirable: significant knowledge of the HESA legislation and experience relating to the enrolment and administration of government-funded vocational and higher education students.
- Excellent organisational and time management skills with proven ability to manage multiple tasks and re-adjust workload priorities to meet conflicting deadlines; work independently to quickly extract the priority issues and act without specific direction where appropriate while keeping management and stakeholders informed.
- Strong conceptual, analytical and problem-solving skills and an ability to think laterally to identify practical and workable solutions within relevant compliance constraints; proven ability to identify and manage the impacts of issues on customers.
- Highly developed interpersonal skills, written and verbal communication skills, including ability to tailor communication styles to diverse audiences. Proven ability to analyse and present complex data to different audiences and stakeholders.
- Demonstrated ability to build and maintain effective and productive relationships with a wide range of groups is essential, both internal and external to the University, including a demonstrated ability to respond appropriately to sensitive information and situations.
- Ability to work accurately with detailed information; including shared, detailed data spreadsheets; data entry; data validation and investigation and resolution of complex issues.
About the Portfolio
The Education Portfolio is headed by the Deputy Vice-Chancellor Education and Vice President who leads the planning and implementation of the University’s strategies related to RMIT’s academic programs and the RMIT student experience. The Portfolio is responsible for services to support the quality of RMIT programs, including the professional development of academic staff, continuous improvement of the student experience, learning and teaching outcomes and the management of learning and research information sources.
The Education Portfolio plays a key role in empowering students to access education, participate actively in the life of the University and achieve successful and fulfilling lives beyond graduation. The provision of a stimulating and satisfying experience for students is a priority for the University.
The Academic Registrar's Group (ARG) is responsible for the administrative, policy and governance activities of the University which relate to the student lifecycle. The ARG operating environment is highly complex; the University has more than 82,000 students enrolled in both vocational and higher education programs, at campuses in Melbourne, Europe and Vietnam, and at several offshore locations in conjunction with educational and industry partners.
RMIT has one of the highest numbers of international students in an Australian university. Compliance requirements are significant, with State and Federal legislation imposing numerous and frequently revised data collection obligations.
The ARG has a staff establishment of around 130 EFT and an operating budget of in excess of $20 million.
Core University services provided by the Academic Registrar's Group include: academic policy, student governance and complaints; program and course administration; student system configuration and management; admission; enrolments; student records administration; assessment support including special consideration and student progress; results, program completions and graduations.
