**About the client**:
Located just 45 minutes from the Perth CBD on the picturesque backdrop of the Darling Scarp. With the Tonkin Highway extending to Mundijong Road as well as a new Byford train station as part of the Metronet project, our Shire is growing at lightning speed.
**About the role & duties involved**:
- 2 year permanent full time contract
- Assist Coordinators with scope preparation and
contractual compliance administration for contracts in
performance to ensure compliance with policy
- Develop and manage the establishment of tender scope and
specification documentation in line with the procurement plan
and renewals Management of the tender/quotation and
evaluation process
- Ensure compliance with the relevant Contract
Management requirements
- Assist with procurement reports to provide clear
insights and recommendation
- Manage the administration of variations to contracts with
Manager Operations and Procurement Coordinator
- Facilitate regular meetings with contractors to ensure
contract compliance, taking and distributing minutes and
actions and performance instructions
- Ensure contractor compliance and currency of
insurances, certificates, registration, and licenses are
provided to the team in a timely manner
- Support Manager Operations and Coordinators with performance management of Contractor and associated performance reviews
- Coordinate, track and report on Local Service Agreements and Minor RFQs compliance with financial limits and policies
- Maintain the operations procurement register and liaise
with Coordinator Procurement to manage workflow and
feedback
- Process improvement initiatives in line with policy and
procedure and provide technical and analytical support
and liaison with Coordinators.
- Report progress and uptake of change and improvement initiatives as requested
- Other administration tasks and relief duties as required
- Assist Manager and Coordinators with research and
preparation of contract spend analysis
- Generate regular contract status reports detailing the
current state of ongoing contracts
- Summarise key milestones achieved, deliverables completed, and any deviations from the original contract terms
- Highlight upcoming milestones, deadlines, and potential risks that may impact contract execution
**To be considered for this role, you will have**:
- Proven ability to motivate, lead and manage teams
- Proven experience in either Contract Administration / Procurement functions and processes or financial management and reporting for procurement
- Highly developed process /administration skills
- At least 3 years’ experience in a similar position
- Demonstrated analytical and problem solving skills
- Strong written and verbal communication skills (including negotiation and report writing)
- High level attention to detail
- Well-developed documentation skills
- Well-developed organisational and time management skills
- Intermediate-Advanced level of functionality with Ms Word, Excel and Systems software
- Police clearance
- First aid certificate
- C class drivers license
- Willing to undergo pre employment test
