**The Role**
The APS 6 Coordination Officer is responsible for providing a high level of administrative support within an integrated workforce and exercise a high degree of discretion, judgement, strategic awareness and professionalism to help administer, progress and drive key Group outputs.

The remit of the role is broad, spanning a full range of issues in a Whole-of-Government setting. The role supports both the Chief of Staff and Executive Coordination team in providing Ministerial and administrative coordination and secretariat services to support the Chief Information Officer (CIO), in meeting his obligations.

The duties of this role include, but are not limited to:

- Providing end-to-end secretariat support for committees, ensuring meetings are scheduled and managed effectively, and that high quality agendas, papers and minutes are developed and distributed in a timely manner.
- Managing a forward work plan and other reporting tools to ensure that the DDG Senior Executive are prepared and enabled to appear at senior committees.
- Assist in coordinating Ministerial correspondence, including briefs, submissions, parliamentary questions on notice, Cabinet submissions and Senate Estimates preparation briefs and packs.
- Supporting the Group's Executive by researching and facilitating important correspondence, papers, submissions and documents.
- Developing and maintaining productive relationships with internal and external stakeholders of all levels to ensure priority matters are actioned appropriately and in a timely manner.

**About our Team**
The Office of the CIO is managed by the Chief of Staff, and includes a small front office team of two Executive Level 1 officers and three supporting APS staff who provide a range of broader enabling and coordination functions. The teams work to support Defence’s Information and Communications Technology (ICT) footprint, one of the largest, most diverse and complex in the Southern Hemisphere.

The Office of the CIO works closely with the DDG Executive team to help plan, administer and facilitate organisational outcomes and priorities. DDG has a blended workforce (APS, ADF, contractors) of approximately 3,000 personnel who support the Defence mission globally.

Over the next five years the Group will manage some $5 billion of Defence capital projects, which includes a full suite of cutting edge ICT programs to enable the critical reform initiatives under way across Defence and to deliver capabilities to support the ADF mission.

We are looking for someone who can:

- Demonstrate experience providing high-level support to Senior Executives.
- Manage forward work programs, action registers and committee records, and use, or learn, the Parliamentary Document Management System (PDMS).
- Work collaboratively to proactively manage interdependencies between committees.
- Demonstrate strong organisation and time management skills, with the ability to achieve results, manage multiple priorities and respond flexibly in a high tempo environment.
