Sydney, Australia The Customer Experience Company Full time

**What to expect**:
CEC is hiring a full-time Office and Project Coordinator for our fast-paced Customer Strategy and Design consultancy based in Circular Quay.

The role would suit an outgoing, confident self-starter, who brings astute verbal and written communication skills, has strong attention to detail with organisation skills to match, and is happy and confident working autonomously.

In this busy and varied role, you will support a range of people as well as work on interesting internal and client-facing projects.

You will work with a curious, empathetic, and candid team and your organisational capabilities, along with your flexible nature and effective communication skills will see you thrive in managing multiple tasks and competing priorities.

We’ve got an exciting road ahead. Join our team and help us shape the future, from home and from our design studio in Circular Quay with the backdrop of Sydney’s harbour.

**Once you're on our team, you will**:
**Office Coordination**
- When in the office, be the ultimate host/hostess by welcoming guests, and making sure our purpose-built award-winning design studio is in great shape - fridge and supplies are well stocked, and the space is clean, safe, and organised.
- Work in partnership with our Ops & Marketing Lead and our Finance Team to keep our systems up to date, and ensure operational policies are up to date and processes are met.
- Be the liaison between the building manager on office requirements and uphold the roles of First Aid Officer and Fire Warden.
- Coordinate and facilitate internal social and community activities including team meetings, end-of-month events, annual offsite etc.
- Assist in organising external events and workshops, including space setup, catering, invitations, etc.
- Work with team members to prepare documents and presentations for internal and external events, meet the needs of meetings and workshops as needed, and follow up on any outputs and actions.
- Be responsible for the onboarding of new starters, ensuring they are set up with all they need to be a successful member of our team, and iterating the onboarding process as needed to ensure it is kept up to date and relevant. ‍

**Project Support, Administration and Coordination**:

- Ensure the internal project governance process is being followed including monitoring of project milestones and support in booking in forums and tasks.
- Diary and travel management including booking, scheduling and prioritising of internal and external commitments.
- Proofreading & preparing documents - ensuring our deliverables are high quality and aligned to brand and design standards.
- Pitch in to support project teams with tasks such as project reporting, client management and communications.
- Deliver high-quality outputs and outcomes alongside our Project Teams and learn and have fun along the way.

**What kind of expertise we're looking for**:

- High level of organisational ability, an energetic self-starter and ability to self-manage
- Well-developed problem-solving skills, technical nous, and attention to detail
- Ability to prioritise in a dynamic environment
- Strong interpersonal skills and polished communication skills
- Have a continuous improvement mindset and ability to make change happen, make rapid iterations, give and receive feedback, and be highly adaptive in a learning culture
- A strong contributor to the positive culture and vibe of the office
- 2-4+ Year’s experience in a project administration or coordination role, EA or office coordination role and familiar with agile ways of working
- Proficient in MS Office, Google suite, Miro, or willing and able to learn quickly on the job
- Professional services or similar experience or exposure are highly regarded

**What's in it for you?**:

- ** Growth and Learning** - An allocated coach to support your career progression, internal development opportunities and yearly budget to expand your skillset externally through courses and training.
- ** Life Leave** - A chunk of Life Leave for all the moments that matter: paid 'do good' days, extended competitive parental leave benefits, flexible working arrangements, breathers between projects, and a cheeky day off for your birthday too
- ** Hybrid Ways of Working** - We have a team philosophy of idea meritocracy, co-designed strategy and focus driven by OKRs. We are wired for flexible, hybrid ways of working. Alternate from home and from our award-winning design studio in Circular Quay that is stocked with monitors, snacks, games, and drinks (and sometimes the occasional visit from pets)
- ** Connection and Celebrations** - Regular team gatherings eg. end of project celebrations, birthday celebrations, end of month activities, and offsites to bring our team together - no matter where they are.
