Workplace Support Services & Security Coordinator

- Initial 3 months contract

**The opportunity**

The Workplace Support & Services Coordinator manages and triages inbound requests from the business and subtenants. This includes full lifecycle management of maintenance and repair requests, from raising vendor work orders, verification of work, through to invoice processing. This role is ideal for someone with office management or junior facilities management experience looking for the opportunity to gain experience their knowledge and learn in a top tier CBD location.

**About the role**:

- Assign, complete & approve invoices for Work-Orders raised in the Property Assist portal as they arise.
- Book in services at QQT using the MobileDoc app.
- Review/check main Preventative Maintenance items as they are completed.
- Liaise with Vendors to complete tasks and coordinate schedules.
- Inbox management of the Workplace Experience inbox, assisting with general enquiries
- Review reports issued by Vendors triage to FMs for review & file.
- File management - Share drive document management.
- Work with other Business units to close out enquiries I.e. Appspace, technology etc.
- Provide overview & or insight during team check ins.
- Post on Workplace upcoming events, building issues & or other building Specific items.
- Support the Workplace Facilities Managers to optimise the Tenancy and building facilities.
- Ensure compliance with all security and safety standards and protocols.
- The management and reporting of incidents, repairs & maintenance.

**Job specific capabilities required**:

- Intermediate skills of 0365
- Excellent written, numerical, and verbal skills to communicate with vendors, senior leadership, and customers.

**About you**:

- Experience in facilities management or coordination is desirable but not essential.
- Demonstrated ability to manage relationships with a focus on customer service and a solution mindset.
- Strong written and verbal skills
- Strong analysis and critical thinking skills.
- Team focused and initiative-taking.
