**As our highly valued Operations Coordinator, you will contribute to ensuring a bright future for Queensland, Australia and our global partners. You will do this with people who want you to grow and progress.
Reporting to the Principal Advisor, you will have the opportunity to provide high level executive administrative and operational project support to the General Manager and the Division. You will coordinate, manage and provide quality control over workflows within the Division. You will also be required to balance conflicting priorities, work to deadlines and display a high degree of professionalism, judgement and confidentiality in a fast-paced environment.
Based in Brisbane, here's what your role will involve:
Provide high level confidential administrative and operational support to the General Manager including:
Quality control, coordination and preparation of departmental, ministerial, senior executive briefings, agendas, reports, submissions and presentations/events
Executive meeting preparation, scheduling, diary and travel management
Monthly budget monitoring and analysis, processing expenditure approvals, invoices and accounts; corporate card purchases and monthly corporate card reconciliation
Undertaking research and analysis to identify a range of options to support executive decision making
Maintaining excellent working knowledge of current matters relevant to the General Manager.
Actively participate in the delivery and coordination of other business management functions and projects both domestically and internationally as required.
Maintain a high level of accuracy in all administrative documents associated with activities within the division.
Coordinate stakeholder responses across the division on a range of operational and policy matters.
In consultation with the Principal Advisor, develop, implement and continuously improve office management systems including information management, filing and tracking systems.
Establish and maintain effective communication strategies, protocols, stakeholder negotiation and liaison activities across cultures and other private and public sector organisations.
Develop and foster effective relationships with key stakeholders across local, state and federal agencies, industry to continue to build commitment to long term growth.
