We are excited to be working with our client who is a state owned corporation in involved with navigation, security, and operational safety needs of commercial shipping across variety of places in NSW.
The Administrative Coordinator will provide administrative support to the Infrastructure Assets & Development team including preparing documents and reports, compiling meeting minutes and records, scheduling workshops, organising and maintaining information, coordinating calendars, analysing data including budgetary expenditures, and providing general office support.
**Responsibilities**:
- Provide administrative support to IA&D team
- Support IA&D with procurement and assurance activities
- Support the Financial Performance Officer with budgeting and reporting, including adding vendors to SAP, processing project invoices, creating purchase orders, report preparation and set up of Projects in SAP
- Maintain effective relationships with key stakeholders including the Assets and Development, contractors, consultants, customers, and suppliers
- Ensure compliance with legal guidelines and internal policies
- Support the team with General Office administrational duties, such as, arrange meetings, take minutes, organise catering, book travel, process expenses, assist with reports & presentations, and any ad-hoc tasks as required.
Experience
- Experience with Financial Systems ( SAP preferred)
- Microsoft Office Suite (Outlook diary management, Intermediate Excel, Word and Power Point)
- Relationship management skills to build effective, collaborative relationships with key stakeholders and working with all levels of internal employees.
- Ability to multi task and meet key deadlines
