**About the opportunity**
We have an exciting permanent part-time opportunity for a Receptionist to play a vital role in creating a welcoming and professional environment for all Energy Safe's staff, callers, and visitors. With a focus on excellent customer service, this role involves daily management of the reception area, ensuring it runs efficiently and creates a positive front-of-office experience.
**Key accountabilities**:
- Greet and assist visitors, announcing their arrival to relevant staff member to coordinate office access.
- Maintain upkeep of the reception area and lounge, common areas such as the main kitchen, meeting rooms and kitchenette.
- Maintain office security by following established procedures around visitor sign-in, issuing and tracking security passes to staff.
- Manage daily incoming and outgoing mail and courier deliveries, ensuring these are logged and ready for collection from the mail cupboard
- Order and maintain inventory of stationery and supplies for the office, main kitchen and meeting room kitchenette.
- Provide general procurement and administrative support such as raising purchase orders and invoice review.
- Monitor and assist Business Services on ServiceNow requests.
- Assist with handing out and collection of vehicle keys and all other office keys kept at reception.
- Review and ensure currency of reception process and procedures.
- Provide coverage for the other receptionist during periods of leave, lunch breaks or other absences.
- Assist with general administrative/ad hoc tasks as directed by management.
**To be successful, you'll have**:
- Proven experience in a reception, customer service, administration, and/or similar roles.
- Proficiency with a range of office equipment (such as printers, laminating machine, and document binder), phone systems (Microsoft Teams) and Microsoft Office suite (MS Word, Excel, and PowerPoint).
- Excellent verbal and written communication skills.
- Effective interpersonal skills, with ability to deal with diverse stakeholders, in person or over the telephone.
- Exceptional time management, organisational skills, and ability to multi-task.
- Strong administrative skills, record keeping and attention to detail.
- Demonstrated ability to use your initiative to effectively respond to situations as they arise.
- Proven reliability to work effectively with mínimal supervision, as well as part of a team.
