- About the Role
- As an Executive Assistant in our teams, you will play a key role in helping to support the Group Financial Controller and VP Finance Portfolio and Functions, along with other senior managers in the teams.
- This opportunity will suit someone who has prior Executive Assistant experience, is highly organised and can thrive in a global, dynamic, fast paced environment. In this position you will provide administrative and operational support with responsibilities including:

- Executive diary and inbox management: proactive management of diaries and inbox, scheduling of internal and external meetings with senior executives (including the BHP executive leadership team) and related logistics and agenda preparation with a demonstrated ability to autonomously prioritise commitments along with managing stakeholder expectations;
- Reconciliation and submission of executive monthly expenses, ensuring alignment with BHP business expense policy;
- Booking and management of flights, transfers, visas and accommodation, ensuring cost effectiveness;
- Raising purchase orders;
- Supporting and coordinating the cadence and operating rhythm of the teams; arranging team events and catering; and communicating general updates with the teams as needed;
- Confidential Information Management: handle sensitive and confidential information with discretion and professionalism;
- Assist in the scheduling of preparation and review of Board and Board committee papers in line with required timelines;
- Monitoring and follow up of mandatory team training obligations;
- Problem solving and initiative: anticipate challenges and offer creative solutions to support the smooth operation of the day-to-day team activities.

- About You
- To be successful in this role you will have demonstrated the following:

- High level of forward thinking, organisation, flexibility, delivery orientation, initiative and planning;
- Proven ability to build strong, open and collaborative work relationships with internal and external stakeholders at all levels of an organisation;
- An understanding and appreciation of working in a confidential environment is essential;
- Proven results working with a sense of urgency in a dynamic environment with rapidly changing priorities;
- Flexibility to step in and support the team when needed;
- Strong time management skills and the ability to prioritise conflicting issues in a professional manner;
- Demonstrated ability to take initiative, be proactive by taking action and be persistent in addressing issues;
- Excellent communication skills
- Advanced skills in Microsoft Word, Excel and PowerPoint and working knowledge in a SAP environment.
- Bachelor’s degree highly desirable
